Document Controller

Role Overview:

This role focuses on supporting the Projects department by ensuring all Installation and Maintenance manuals and Manufacturing record documents are up-to-date and meet contractual obligations. Additionally, this role involves digitisnig manufacturing documentation and actively contributing to the creation of a paperless system. Compliance with Quality, Environmental, and Health and Safety Requirements as per the company Management Systems is essential.

Main Duties and Responsibilities:

  • Utilise and improve the electronic document control system for managing project documentation.
  • Maintain document management processes and systems, ensuring compliance with contract and corporate requirements.
  • Manage electronic filing, archiving systems, and technical library for easy issuance, storage, retrieval, and management of documents for internal and external customers.
  • Oversee the numbering, checking, validation, and verification of all documentation, ensuring correct numbering, revisions, status, format, title, and legibility.
  • Collaborate with various stakeholders to ensure timely and accurate documentation flow.
  • Maintain proper organization and storage of documents and information.
  • Control and collate project-specific certification and dossiers.
  • Digitise handwritten documents.
  • Provide comprehensive administrative support to the team.
  • Perform any other ad hoc projects or duties as assigned.

Education / Qualification Requirements:

Essential:

  • GCSE Grade C or above in English & Maths (or equivalent).

Desirable:

  • A level qualification in Engineering or a similar field to aid in understanding technical drawings and specifications related to our product.

Experience and Knowledge Requirements:

  • Minimum 2 years of relevant experience in document control and record management within a bespoke engineering manufacturing environment, preferably in the Oil and Gas sector.
  • Good knowledge of document control and management processes, IEC standards, and ISO standards.
  • Strong communication skills at all business levels, with good written and verbal communication and interpersonal skills.
  • Mature, proactive, organised, and able to take initiative.
  • Systematic approach and able to work under pressure.
  • Meticulous with the ability to follow through tasks promptly.
  • Able to work independently and as part of a team.
  • Proficiency in MS Office applications (Excel, Word, PowerPoint) is a must, and knowledge of PDF creation/editing, Photoshop, and InDesign is an advantage.
  • Must be a UK National.
