Purchasing Assistant

Plug Me In, part of The Calisen Group, is in an exciting and strong position where we are seeing growth and development in all areas of the business. As a result of this growth, an exciting opportunity has become available within our finance department for a Purchasing Assistant.

As a Purchasing Assistant for Plug Me In, you will be responsible for managing the purchase order process, specifically for Electric Vehicle (EV) Charge Point and Heat Pump orders. Your role will involve coordinating with suppliers, ensuring timely order placement, and maintaining accurate records of purchases. This is a critical position that directly impacts the smooth operation of our business and customer satisfaction.

This is a permanent, full-time role working 37.5 hours per week, Monday-Friday, on a hybrid basis working from home, with travel to our Wigan office at least 2 days per week. The salary is to be discussed with the successful candidate circa £30,000 dependent on experience & qualifications.

Key Responsibilities:

  • Raise purchase orders on behalf of the business, ensuring accurate and complete information is provided to suppliers
  • Coordinate with suppliers to obtain quotes, and place purchase orders for Electric Vehicle Charge Points and Heat Pumps products and component parts.
  • Ensure accurate and timely processing of purchase orders, including verifying product specifications, quantities, and pricing
  • Track and monitor order status, ensuring on-time delivery of products to meet project timelines and customer expectations.
  • Resolve any issues or discrepancies related to purchase orders, such as pricing discrepancies, delivery delays, or quality concerns.
  • Maintain accurate records of purchases, including purchase order documentation, invoices, and receipts.
  • Collaborate with the Finance department to ensure accurate and timely payment to suppliers.
  • Collaborate with the Finance and Procurement teams to streamline accounts payable processes, identifying opportunities for efficiency and cost savings
  • Improve reporting on purchase orders, supplier performance, providing regular feedback and recommendations to senior management.
  • Confirm receipt of orders with field engineers and goods receipt, ensuring that products are received in good condition and as per specifications.
  • Support the analysis of margin contribution for different projects or jobs. This involves assessing the profitability of each job by analysing revenues, costs, and margins
  • Allocate costs accurately to specific projects or jobs, ensuring that costs are properly classified and accounted for in the organisation's financial records.

What we are looking for:

  • Bachelor's degree in business administration, supply chain management, finance, accounting, or related field.
  • Certificate in procurement or purchasing (desirable).
  • Proven experience as a Purchasing Assistant or in a similar role.
  • Understanding of Electric Vehicle Charge Points and Heat Pumps.
  • Knowledge of procurement processes, including purchase order management and supplier relationship management.
  • Proficiency in Microsoft Business Central (BC) and Microsoft Office Suite (Excel, Word, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to work both independently and as part of a team.
  • Strong attention to detail and organizational skills.
  • Understanding of financial principles.
