Admin Assistant

Recruiting for an Admin Assistant, this is a rare opportunity to join the team.

The role will primarily support the Finance Manager, but also assist with Customer Service and Reception duties when required.

Hours are 0830-1700 Monday to Friday.

Job summary: To provide purchase invoicing support to accounts and general office support.

Main duties and responsibilities:

  1. To be responsible for purchase invoicing, dealing with supplier queries

  2. To upload all purchase invoices to Sage

  3. To prepare payment reports for weekly, mid-month and month end.

  4. To post payments for suppliers and sending out remittances

  5. To process international invoices

  6. Ensure materials are released for payment runs

  7. To keep track of proforma invoices which have been raised

  8. Processing and reconciling petty cash

  9. Keep records of direct debit payments, invoices and checking portals

  10. To keep service agreement records are kept up to date

  11. To regularly review Purchase Order Processing and Purchase Ledger

  12. To ensure all invoices are up to date and communicate any issues to the correct department or person

  13. To answer the telephone and transfer call to appropriate person

  14. To open and distribute company's post

  15. To type, store securely and update as necessary all documentation associated within the company

  16. To make sure that all email queries are being dealt with or passed on to the relevant personnel

  17. To be responsible for ordering stationary and office supplies

  18. Generating sales export documents

  19. To greet visitors and organise refreshments for meetings

  20. Mail duties including going to the post office

  21. The restocking of the first aid box in the general office

  22. Credit control

This is a busy role and would suit someone well organised, with good attention to detail and previous experience in a similar role.
