We are working with an amazing client to source a dynamic and organised individual to join their close-knit team as an Executive Assistant. The EA will be responsible for the daily operations of the CEO & CTO along with providing ongoing administrative support to the wider business across all locations. This role requires a highly efficient and proactive person who can effectively manage administrative tasks, support executive staff, and ensure smooth operations within the office environment. You will be responsible for all administration, managing office policies and procedures, as well as hosting clients and guests.

This is a dynamic and thriving team, who are sociable and down-to-earth yet hardworking and dedicated. A hybrid role, you will work in the office 3 days a week on Mondays, Tuesdays, and Thursdays, and work from home on Wednesdays and Fridays. Usual office hours are 9am - 5pm, Monday to Friday with flexibility required for events and occasional travel.

DUTIES TO INCLUDE, BUT NOT LIMITED TO:

  • Supporting the CEO & CTO on all organisational support including liaising with internal and external stakeholders.
  • Providing general administration support including diary management, booking meetings, planning events, organizing travel, and preparing travel itineraries.
  • Wider administration to support the office in other ad hoc requirements and projects.
  • Supporting meetings with agendas and Board packs and compiling minutes for key meetings.
  • Hosting visitors for meetings on-site and off-site.
  • Support and management of all travel itineraries for the Manchester team. This includes flights, airport transfers, hotel bookings, and dining and entertainment bookings.
  • Answer and direct incoming phone calls through the switchboard professionally and courteously.
  • Greet visitors, clients, and employees in the reception area.
  • Provide information to callers or direct them to the appropriate personnel.
  • Coordination and execution of event planning activities.
  • Assisting with marketing and social media initiatives for both the company and senior executives.
  • Ensure timely and efficient booking services for business-related gatherings.
  • Support event and entertainment bookings for client meetings and hosting guests.
  • Manage office budgets and expenses, providing regular reports to leadership.
  • Coordinate meetings, conferences, and events, including logistical arrangements and catering.
  • Oversee day-to-day office operations, including inventory and office supplies.
  • Receiving and supporting visiting clients to the Manchester office, including refreshments and restaurant/entertainment bookings.
  • Oversee incoming and outgoing mail, packages, and courier services.
  • Respond to ad hoc administrative requests with efficiency and attention to detail.
  • Ensure office compliance with relevant regulations and requirements.
  • General IT admin communication point with the external IT provider.
  • Provide assistance with account/bookkeeping-related tasks.

ESSENTIAL CRITERIA:

  • Prior PA / EA experience in a similar role.
  • Computer literate across MS software.
  • An ability to engage with people through verbal and written communication whilst having strong presentation skills.
  • Some experience in marketing and managing social media.
  • Exceptional organisational and time management skills, with the ability to prioritise tasks efficiently.
  • An approachable and friendly attitude - able to form relationships and build rapport.
  • Proactive mindset with the ability to anticipate needs and take initiative.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Excellent checkable references.
