Facilities Manager

This role is a dual-purpose role that seeks to ensure that our staff and contracted partners perform for the benefit of our residents and that our buildings perform to benefit of the environment, which then ultimately benefits our clients.

You will develop a high-performance supply chain for FM services, will ensure that we can deliver for our residents' day to day, respond quickly to emergencies and grow our portfolio sustainably. You will be involved with new projects, ensuring the site team have the information they require to run efficiently from day one.

The impact of the Built Environment on the planet is well documented and this role will seek to ensure each asset's performance is measured, tracked, and ultimately improved. We want to 'walk the walk' in our approach to ESG.

Principle Duties & Responsibilities:

  • Develop and maintain standardized asset lists for all operational sites and ensure that mobilizing sites' data is captured in the same way (Including Lifts, Fire alarms, Smoke Extract, Dry risers, HVAC, Access control, CCTV, Heat Networks, and boosted cold water installations).
  • Standardize PPM schedules across the portfolio to ensure compliance and consistent service delivery.
  • Create and manage the approved supplier's list for our portfolio.
  • Develop and keep up to date a contract register and contract risk register for FM service providers.
  • Ensure the procurement of out of hours services that deliver processes for our residents in terms of availability and response. Manage our out of hours contractor base and monitoring/keyholding centres.
  • With the Director of Facilities, conduct and assist with procurement tender exercises for FM services locally and nationally as required.
  • Help maintain positive relationships with key suppliers through regular management meetings remotely and on-site.
  • Support sites with complex and technical reactive maintenance queries when required.
  • Lead on creating lifecycle plans.
  • Assist with annual operations budgeting as well as lead on MEP/ESG Capex recommendations to clients.
  • Ensure O&M manuals are kept up to date.
  • Keep F-Gas registers up to date.
  • Ensure all utilities usage is tracked, including check metering, across the portfolio and that our utilities consultant's asset list is up to date.
  • Lead on the management of utilities broker and all re-billing partners.
  • Provide support and create asset lists on MEP during the mobilization of new projects.
  • During mobilization, act as the company's representative on building services queries when required. Create asset lists and guides to help ensure CMs and FMs have a smooth transition into the scheme.
  • Create SOPs for our onsite FM teams when dealing with building services installations and ESG tracking.
  • Conduct desktop and in-person audits of our buildings and contracted partners.
  • Deliver internal CPD sessions for our teams on building services and ESG tracking.
  • Assist in the collation of client reports.
  • Follow established policies and procedures by monitoring and ensuring compliance with H&S regulations, organizational standards, and operational processes, ensuring the teams are fully trained and updated.
  • Identify areas for improvement and offer suggestions and recommendations to improve efficiency and productivity.

Client satisfaction: Our clients having existing or are mobilizing buildings that have a lot of technical capabilities. You'll help get the most out of their investment and ensure we future-proof their asset.

Performance for the Planet: You will ensure all ESG-related workstreams are tracked, including utilities, waste, local employment, living wage supplies, and air quality in order that we can identify improvements and keep our clients' accreditations in place.

Contract Performance: You will help consolidate contracts regionally/nationally helping us strike that balance of using local experts and benefitting from the cost and management advantages of bulk buying discounts. We are only as good as the partners we use so their performance is key, as is their ability to innovate.

Guidance and support: This is a head office role and you will use your experience to help create an enthusiastic, knowledgeable, committed and passionate culture of partnership amongst our on-site teams and contract partners. You'll lead by example when dealing with reactive issues through prioritization, urgency and demonstrating an 'all in it together' mentality in line with our company values.

Person Specification

Experience and Skills:

  • Demonstrable experience in building services, hard FM, ESG projects, or similar.
  • Contract consolidation and ongoing contract management experience.
  • Experience in achieving building ESG accreditations such as BREEAM In-use, Gres-B, Air Rated, FitWell, ESOS assessments, etc.
  • Be fully aware of health and safety regulations and demonstrable experience in ensuring full compliance with statutory and legal requirements.
  • Demonstrable professional development in one of the following: IOSH, NEBOSH, HND Building Services, FM qualifications.
  • Experience working with Microsoft Office programmes (Teams, SharePoint, Outlook), Riskwise (or other compliance tracking software).
  • Excellent communication skills (written and verbal) to engage with stakeholders.
