An established and ambitious company that focuses on tracing heirs and beneficiaries of lost and unclaimed assets and deceased estates. Due to its ongoing growth the company is looking for a proactive, highly organised Office Administrator.
This role is central to ensuring smooth day-to-day operations in a supportive and sensitive work environment, particularly where assisting clients in deceased estates-related matters. You will be the first point of contact for internal staff and external clients, ensuring efficiency and professionalism in every interaction. You will be reporting to Manager level.
Key responsibilities:
- Act as the first point of contact for client and visitors, providing a warm, professional welcome
- Managing incoming and outgoing communications and queries including telephone calls and mail correspondence
- Maintain, update office and archive records, databases and filing systems with high accuracy and confidentiality
- Support the Commercial Manager with administrative tasks such as onboarding paperwork, event bookings and reservations and expense tracking
- Coordinate meetings, appointments and room bookings; prepare agenda and take minutes when required
- Oversee office supplies and purchases
- Assist with document preparation, formatting and proofing - particularly in support of client communications and case files
In addition, an Office Administrator is expected to:
- Ensure compliance with GDPR and company policies related to data security and client confidentiality
- Organise staff events
- Hold relevant positions of responsibility, such as first aider and fire marshal
- Other duties as may reasonably be requested from time to time
Skills and qualifications:
- Proven experience in working in a professional services environment
- Proficient in Microsoft Office (Word, Excel, Outlook) and basic office systems
- Be familiar with case management software or CRM systems
- Have a basic understanding of GDPR and data protection requirements

- This position requires confidence, flexibility and enthusiasm
- Must be a very clear communicator with strong interpersonal skills
- Strong organisational and multi-tasking abilities
- Ability to manage sensitive information with discretion and professionalism.
- A compassionate and calm manner, especially when dealing with vulnerable clients or sensitive matters.
