Facilities/Operations Manager - Brewery Square

Purpose of the Role

Our exceptional team is central to Brewery Square's success and we are now on the hunt for an enthusiastic Facilities/Operations Manger to join the team.

This is a fantastic opportunity to contribute to a flourishing complex in the heart of Dorchester, the County town of Dorset. The job is highly rewarding as you work across a diverse field as well as benefiting from working as part of friendly, hard working team.

The successful candidate will be required, along with the management team, to deliver our client's vision & values in an innovative and operationally efficient manner, ensuring services are delivered to a high standard.

Key Responsibilities

Operational, General

  1. To have day to day responsibility for the facilities management of the site including Security.
  2. Overseeing retained area cleaning, façade cleaning, building fabric maintenance, the efficient waste handling / recycling, fire safety and related process & Health & Safety management.
  3. Prepare and implement contingency plans, to ensure adequate and suitable site attendance, including cover for holidays, training and sickness.
  4. To review the building emergency risk management & emergency handling plans and process, on an ongoing basis.
  5. To ensure that all relevant base build warranties are suitably respected and maintained, reporting any breaches to the Centre Manager.
  6. To deal with all general queries on site efficiently and professionally and as appropriate direct queries to third parties for action, ensuring the person raising the query is informed of the action taken, the expected outcome and the timeframe involved; establish and maintain a register for these.
  7. In the event of emergency situations, to act as first point of contact for Savills Helpdesk, attend the property (if out of normal business hours) as soon as is possible and report back to relevant personnel whilst co-coordinating third party stakeholders to reach a speedy resolution.
  8. Working with the Centre Manager, to evaluate, from time to time, contractual relationships and ensure that the service provided by service partners, are in line with the agreed specifications. Ensure that any shortcomings in service delivery are dealt with swiftly and appropriately.
  9. Deputise for the Centre Manager in their absence.

Operational – Technical and Maintenance

  1. Acquire a general working knowledge of the installations, report/obtain prompt assistance with defects or malfunctions that may arise, in the event of an emergency situation.
  2. To monitor the performance of any service partners appointed to carry out works/provide services on site to ensure that their work is carried out to the required quality and within appropriate timescales.
  3. Establish and implement best practice whilst ensuring safe working practices are always complied with.
  4. Keep abreast of health and safety legislation ensuring the site remains compliant.

Compliance

  1. In connection with the day-to-day operation of the site, ensure that the Operation Reporting Systems are always up to date and complete.
  2. Ensure compliance with all legal and statutory requirements, including Health and Safety, particularly with regard to external faced access given the high-rise nature of the building.
  3. Prepare the site for risk assessment maintaining a target compliance rating of a minimum of 90%.
  4. Ensuring that a full set of risk assessments are held, and actions plans are implemented, diligently and competently at all times.
  5. Ensure all required operation & maintenance checklists are completed and uploaded within the appropriate time scales.

Staff Management

  1. Supervise the Security and Cleaning provision on a day-to-day basis, monitoring performance, developing skills, addressing any performance or conduct issues and tracking workloads by carrying out regular meetings, in line with Savills policies.

Financial

  1. Ensure that best practice is applied, in terms of value for money, in connection with the general operation of the site.
  2. Assist in the preparation of the annual service charge budget.
  3. Track expenditure and monitor invoices received in accordance with instructions of work.

Additional Responsibilities

  1. As a member of the Savills team, manage and liaise with all management, technical and administration staff, on strategic and operation/service delivery issues.
  2. Occupier engagement as the first point of management contact for operational matters; monitoring tenant's works and ensuring compliance with the Tenant's Handbook and other building regulations.
  3. Establish and implement best practice, whilst ensuring safe working practices, are complied with at all times, in line with Savills policies.
  4. Ensure appropriate, clear communication lines are established and maintained with all relevant parties, to include suppliers, contractors and clients.
  5. Attendance at internal training courses are compulsory, as is the self-identification of training needs.
  6. The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organisation and the overall business objectives of the organisation.

Skills, Knowledge and Experience

  • A thorough grasp of delivering a quality service to the occupiers by ensuring the property is operated in a professional manner and to a high standard.
  • Understanding of budgets and service charges
  • Health and Safety IOSH
  • Highly competent in use of spreadsheets
  • Contractor Management
