Service Administrator

Forde Recruitment are currently recruiting for a Parts & Service Administrator on behalf of our client, a leading manufacturer of high-quality concrete pumps and equipment.

The successful candidate will be responsible for providing administrative support to the Parts & Service Department, ensuring efficient operations, and delivering exceptional customer service.

Job Title: Parts & Service Administrator

Location:Chesterfield

Salary: £27,500

Monday to Thursday - 8 - 4.30pm / 30 min for lunch

Friday - 8-3.30pm / 30 min for lunch

Key Responsibilities:

  • Serve as the first point of contact for customers seeking parts and service support.
  • Respond to customer inquiries via phone, email, and in-person, providing accurate information and timely resolutions.
  • Process parts orders and service requests, ensuring all details are accurately captured and communicated.
  • Full responsibility for procurement and purchasing (excluding machines).
  • Coordinate with the warehouse, parts & service team to ensure timely restocking of parts.
  • Prepare and process purchase orders and all necessary shipping and import documents such as commodity code submissions.
  • Maintain organized records of all transactions and service and parts activities.
  • Schedule and coordinate service appointments, ensuring efficient use of resources.
  • Liaise with technicians and other departments to facilitate smooth workflow and resolve any issues.
  • Accurately enter and update customer and order information in the project book.
  • Identify opportunities for process improvements and implement best practices to enhance efficiency and customer satisfaction.
  • Stay updated with industry trends and advancements in parts and service management.

Qualifications:

  • Proven experience in an administrative or customer service role, preferably in the automotive or heavy equipment industry.
  • Excellent organizational and multitasking skills with a strong attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with SAP would be preferable.
  • Strong communication and interpersonal skills, with the ability to build positive relationships with customers and team members.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Problem-solving skills and a proactive approach to identifying and addressing challenges.
