Office & Facilities Assistant Entry Level

A hands-on, active role in a dynamic business. The successful candidate will enjoy a fast-paced day, moving around the building through-out their day, performing daily tasks, undertaking basic maintenance, responding to urgent requests and keeping everything running smoothly.

Description

Responsibilities:

  • Knowledge of the building, meeting rooms and areas
  • Very basic repairs and building maintenance including light bulb replacement, furniture repairs, hanging pictures etc. - All of which can be taught.
  • Daily replenishment and stocking of kitchens
  • Daily housekeeping checks, rectifying issues where possible and/or escalating to the Facilities Manager and/or the relevant contractors/suppliers
  • Placing call outs and working with contractors for office repair and refurbishment items
  • Managing site visits and acting as supplier point of contact
  • Logging and chasing work orders
  • Managing supplier invoices and approvals
  • Ordering supplies, for example electrical, stationary and food delivery
  • Maintaining security passes and fobs for access control and intruder alarm systems and creating reports, when necessary
  • Assistance in office moves and furniture moves as and when required
  • Daily inspections for general tidiness and cleanliness; especially in the client facing side of the building
  • Covering Switchboard when required
  • Carrying out the weekly fire alarm test and keeping records up to date
  • Periodic assistance in carrying out Health & Safety checks - All will be taught
  • Ensure all incoming and outgoing post/courier packages are dealt with in appropriate timescale
  • Replenishing toner cartridges
  • Reviewing CCTV footage when there is an incident, and managing footage as necessary
  • Other duties as instructed by the Facilities Manager, and to cover colleagues in the Facilities team during periods of leave
  • Out Of Hours work will be required at times - Any overtime is paid double.

Hours of Work: Mon-Fri (Rota basis- Usual weekly rotation)

7am - 4pm | or | 8am - 5pm

Profile

Background/Qualifications

  • Professional attitude, tone and welcoming manner
  • The ability to work effectively as part of a team
  • Proven experience within a strong customer service environment
  • Basic Maintenance and DIY abilities
  • High quality interpersonal skills, with good written and spoken communication skills
  • Self-disciplined and able to work on own initiative with the ability to make decisions without referral to line manager
  • Computer literacy, including competence with the Microsoft Office suite including Word and Outlook, Basic Excel

This role will require you to be on you feet a lot, regularly walking around the building etc, we are looking for a candidate who is comfortable with this
