Greater London Authority, one of the largest public sector organisations based in London, is seeking to recruit an Executive Assistant to join their expanding team. This role is initially offered as a 3-month contract, with the possibility of further extensions. The position is full-time, Monday to Friday, 37 hours per week, with hybrid working available (office located near Canning Town).
Pay rate: £26.30 per hour PAYE or £34.15 per hour Umbrella (equivalent to an annual salary of £50,601)
Job Purpose:
To provide high-level professional executive support to two Principals, as part of an Executive Support Team that assists Mayoral appointees and Corporate Management Team Members.
Principal Accountabilities:
- Deliver a comprehensive range of professional, high-level executive support services to two Principals, including the organisation, amendment, and cancellation of meetings, long-term planning, and all related tasks such as the commissioning and collation of briefing and speaking notes.
- Utilise thorough business area knowledge to work autonomously, exercising evaluative judgement and discretion to address issues and balance competing priorities across multiple diaries for senior staff, escalating matters to the Executive Support Manager only when necessary.
- Maintain key lines of communication and foster productive working relationships with a large and complex network of external stakeholders, senior managers, and other staff across the organisation to ensure effective executive support.
- Stay informed about key priorities and relevant developments for the supported business areas as well as the wider organisation, to provide knowledgeable and targeted support to the Principals, cover other diaries within the Executive Support Team as needed, and respond to emerging events.
- Manage the governance and transparency processes for Principals, including Gifts and Hospitality declarations and the Register of Interests.
- Oversee the documentation clearance process for Principals, including absence authorisations.
- Handle inbox management related to invitations, deleting email chains, and filing emails as required.
- Actively contribute to building a successful and positive Executive Support Team by taking personal responsibility for displaying the highest standards of professional behaviour, participating in team meetings, providing valuable input, and taking on assigned tasks as needed.
