Executive Administrator

Executive Administrator, Legal Body, permanent, London, working 3 days a week, £30,000 pro-rata

Our client, a legal body based in London, requires an Executive Administrator to provide administrative support to ensure the smooth running of the department. This is a permanent role working 3 days a week.

The main responsibilities of the Executive Administrator role are:

  • Running the intern programme, receiving, collating, and shortlisting candidates
  • Arrange, schedule, and confirm interviews with candidates and Heads of Departments
  • Sending offer letters, confirming visas
  • Being main point of contact for potential interns
  • To log interns' sickness and holiday, and look after their pastoral care where appropriate
  • Oversight of grants and budget awards
  • Aiding with the collation of an Intern newsletter
  • Create the annual budget and manage expenses
  • Ensure website it kept up to date
  • Ensure all processes and procedure documentation is kept up to date
  • Participating in creation of annual report
  • Liaison with various departments in support of the creation of the annual report
  • Answering general emails and queries, and directing these to correct department if necessary
  • Diary Management at senior level

Person specification and skills. You have:

  • Administrative experience in an office environment
  • Excellent written and verbal communication in English
  • Prioritising and managing own workload
  • Competence and advanced knowledge in using MS Office (particularly Word, Excel and Outlook) Teams and Zoom
  • Strong attention to detail and the ability to multitask
  • Self-motivation and initiative
  • Ability to work both independently and as part of a team
  • Ability to be flexible and working with changing in priorities
  • The ability to develop effective working relations with senior legal professionals from various cultures.

Desirable experience includes experience of producing formal minutes of meetings, database work or data entry, a second language, experience scheduling (online and in-person) Secretarial skills, membership experience and working with various cultures.
