Office Administrator Receptionist

We are looking for an Office Administrator / Receptionist to be front of house, creating a positive first impression of the organisation through a professional and welcoming approach.

Position: Office and Facilities Administrator/Receptionist

Location: Reading

Hours: Full-time, 35 hours per week

Salary: £27,589

Contract: Fixed-term contract until June 2025

About the Role

As Office Administrator, you will contribute to the effective running of the office by providing high quality, flexible and efficient first-line face-to-face support and strong administrative support across the organisation.

You will be expected to work independently with minimal day-to-day supervision in the office, based in Reading.

Key responsibilities include, managing all reception duties including:

  • Handle deliveries and post
  • Be a point of contact for staff, visitors and guests
  • Maintain stationery stock
  • Receive, unpack and store deliveries
  • Liaise with the Building's Main Reception on day-to-day facilities matters
  • Support Health & Safety and other facilities checks and measures
  • Prepare for meetings including Board meetings
  • Support meetings and events on the day and co-ordinate meeting room bookings
  • Provide administrative support for meetings as required
  • Manage premises/facilities-related internal communications
  • Provide HR administrative support as required

About You

As the Office Administrator/Receptionist, you will have previous office administration experience, a professional, welcoming manner, and the ability to interact effectively with people at all levels.

You will have:

  • Excellent verbal and written communication skills.
  • Ability to recognise sensitive issues and handle them appropriately.
  • A high degree of confidentiality, discretion and integrity.
  • Excellent time management and organisational skills.
  • Ability to think ahead, forward plan and problem solve.
  • Methodical with a high level of accuracy and attention to detail.
  • Flexible and able to respond calmly and effectively to changing situations.
  • Strong work ethic, motivated, quick to learn with a positive can-do attitude and a hands-on approach.
  • Able to work independently and as part of a team.
  • Excellent knowledge of Microsoft Windows and Microsoft Office Suite (Word, Excel, Outlook).
