Data & Administration Officer - Temporary to Permanent Role

  • Salary: Scale 5 (22 – 26)
  • Working Pattern: 37.5 hours per week, 38 weeks + 9 additional days

Under the direction of the Headteacher, the Data & Administration Officer plays a crucial role in developing and maintaining an effective data management system to meet the school's needs. This position involves collating and accurately recording information related to staff and students, managing statutory returns, and providing administrative support for various school activities.

Day-to-day of the role:

  • Responsible for the production and timely submission of the termly School Census and annual School Workforce Census.
  • Maintain and update information on school databases, including changes to student and staff details, timetables, and room assignments.
  • Organise data processing and input during annual admission periods, such as primary to secondary transfers.
  • Assist in the production of student reports, setting up assessment definitions, and mark sheets for data collection.
  • Provide support and instructions to teachers for data entry and liaise regarding missing student data.
  • Manage school timetable information, including enrolling students and importing/exporting CTF files for starters and leavers.
  • Prepare and update the school's MIS for timetable uploads and adjustments throughout the academic year.
  • Produce reports for the senior leadership team and local governing board.
  • Process Free School Meals applications, complete statutory returns, and regularly review student eligibility.
  • Coordinate school visits, including advising on the preparation of trip letters and managing bookings and costings for events.

Required Skills & Qualifications:

  • Proven experience in data management and administration, preferably within an educational setting.
  • Strong organisational skills and the ability to handle multiple tasks efficiently.
  • Excellent attention to detail and accuracy in data handling.
  • Proficient in using MIS systems and familiar with data protection regulations.
  • Good communication skills, capable of working with staff at all levels and students.
  • Ability to work independently and as part of a team.
