Senior Administrator

  • Are you an experienced Administrator with either a legal or professional services background?

We are seeking an experienced Senior Administrator to oversee the day-to-day operations of the London office of an innovative, global law firm. This role involves training and supervising administrative personnel, supporting human resources functions, liaising with IT Support and office services, partnering with finance functions, assisting with marketing and client development activities/events, and overseeing the office.

This is a temporary position for 3 months with the possibility of then being offered on a permanent basis.

Key Responsibilities:

  • Manage partner and attorney diaries, meetings, expenses, and travel arrangements.
  • Partner with Administrative Departments on coordinating events, meetings, training, webinars, and other projects.
  • Provide word processing support and manage document flow.
  • Assist with the operations of the office space, including space assessment and planning.
  • Coordinate the purchasing of equipment, furniture, and supplies.
  • Plan and manage office events, coordinating resources, planning set-up and registration, and managing event budgets.
  • Oversee office services operations, including mail, messenger, and reception/switchboard services.
  • Work with the US team on emergency preparedness and disaster recovery plans.
  • Train, mentor, and supervise administrative and operational support staff.
  • Coordinate with HR on hiring, onboarding, and offboarding personnel.
  • Liaise with partners, attorneys, and clients on time entries, billing, and collections.
  • Act as a point of contact for conflict checks and support records management.

Required Skills & Qualifications:

  • Minimum of 5 years experience in an administrative role, ideally within a law firm setting.
  • Strong technical skills, including proficiency with Microsoft Office Suite and document management systems.
  • Excellent written and verbal communication skills.
  • Ability to handle multiple priorities effectively and maintain calm under pressure.
  • Capable of working both independently and as part of a team.
  • Discretion in managing confidential information.
