Personal Assistant

If you're an experienced and proactive Personal Assistant (PA) or Administrator who is looking for a rewarding and varied role that will make good use of your interpersonal, organisational and communication skills, then come join Aberbeeg Hospital as Personal Assistant to the Hospital Director.

You will manage the commitments of the Hospital Director, ensuring key tasks and priorities are effectively managed and completed such as managing their dairy, prepare presentations, organising meetings, visits and venues, and minute taking.

You will organise, allocate and supervise a team of administrators to provide optimum support for the effective and smooth running of the service. This doesn't mean you will have the workload of two people, but rather that you'll put on different hats as you support the wider service.

Liaising with Head Office and Payroll you will ensure any relevant documents are sent, ensure compliance with all HR polices, manage staff absences, be responsible for staff payroll and reviewing weekly and monthly costs.

Occasional travel may be required.

As a Personal Assistant you will be:

  • Effective in co-ordinating diaries, scheduling and administration for regular management meetings including notetaking and action trackers
  • Ensuring effective administration of all complaints, compliments and feedback within the service.
  • Organising travel and accommodation arrangements
  • Producing presentations
  • Processing expenses, invoices and credit card reconciliation
  • General administrative tasks – post, filing, dealing with telephone enquiries
  • Providing holiday and absence cover for other PAs/EAs as and when required
  • Undertaking any other tasks that are reasonable and align to your level of responsibility.

To be successful in this role, you will:

  • Have significant administration experience at executive and senior management level (Board experience would be an advantage)
  • Be highly organised with a friendly and professional approach
  • Be able to anticipate and fulfil requests
  • Have excellent communication skills, both written and verbal, with the ability to adapt writing style according to audience
  • Work positively and flexibly across a range of tasks simultaneously
  • Be computer literate
  • Have excellent diary and time management skills
  • Be fine to work independently
  • Have a high level of confidentiality and discretion
  • Enjoy supporting others, with a caring nature and resilience

Where you will be working:

Location: Pendarren Court, Aberbeeg, Abertillery, NP13 2DA

You will be working at Aberbeeg, a low secure service for men which aims to make sure that each service user receives an individualised formulation of needs, to ensure that the care and treatment delivered is appropriate. Aberbeeg is located within the boundaries of the county borough of Blaenau Gwent, set in 11.5 acres of land with beautiful views of the Welsh countryside.

Aberbeeg uses a twelve week therapeutic planning model alongside the "Safewards" model of care. This means that service users have a therapeutic timetable devised collaboratively with the multidisciplinary team using meaningful and smart goals for a twelve week period. Following this, the timetable is reviewed and changed to reflect the development and achievements made.

Aberbeeg is located within the boundaries of the county borough of Blaina Gwent. Set in11.5 acres of land with beautiful views of the Welsh countryside.
