The role: To act as a Team Administrator/Office Administrator working closely with the property teams to facilitate site visits, office admin and helpdesk. A varied role which enables you to be the linchpin to the organisation.

Duties:

  • Assist with the preparation and distribution of al property-related documents.
  • Review all incoming post and distribute.
  • Coordinate meetings, appointments, and travel arrangements for the property team including arranging inspections and site visits.
  • Attend site visits as and when required
  • Assist with the preparation of meetings including organising meeting rooms, circulating agendas and coordinating diaries.
  • Maintain accurate records of property files on the internal server.
  • Manage the helpdesk queries received from tenants, including logging requests and arranging the relevant call outs with our preferred suppliers.
  • Work closely with the finance team to co-ordinate the office costs and arrange payment of invoices.
  • Prepare the relevant forms and requests for property transactions.
  • Assist with the preparation of property reports on a quarterly basis, including taking minutes.
  • Coordinate with the insurers to ensure timely renewal of policies and process any claims efficiently.
  • Provide support with acquisitions by maintaining a schedule for prospective properties.
  • Managing the access and keys for all properties under the portfolio including maintaining a secure log of key transactions.
  • Working closely with the team to support ad-hoc projects.

Requirements:

  • A Property/FM or Administration related degree.
  • A minimum of 2 years office experience - ideally within property.
  • You must be a real team player who can multi task and has a confident communication style.
  • Be able to multi task and be organised.
