Tate are delighted to be working with a leading housing association in London to bring in an Administrator to join the team and hit the ground running. Please read the below and if it is a role that you feel experienced enough to do please apply and we will get back to you as soon as possible!

Key Responsibilities

  • To contribute to service area objectives by providing and letting high standard accommodation to customers.
  • To provide a comprehensive and customer-focused service to the company's customers, agents and landlords. This will include acting as the first point of contact for customers (by telephone and face to face), responding to diverse queries from the public and providing initial advice and assistance.
  • Provide timely and accurate administrative support for services within the temporary accommodation function, including but not limited to:
  • Assisting clients to complete relevant paperwork including Housing Benefit forms.
  • Provide support to enable vulnerable clients to move into their properties e.g. booking transport where required.
  • Complete pre, and post sign-up administrative tasks to ensure data integrity is maintained.
  • Support compliance with statutory requirements by ensuring tracking/systems are updated and maintained (spreadsheets & QL).
  • Ensure where accommodation is procured out of Borough, the host Borough is advised, including; the Council Tax Department, and Housing Department (using the correct format).
  • Ensure TA cancellations are completed by the appropriate team by passing on relevant information from clients.
  • Ensure new sign-ups are logged for a compliance inspection within 30 days of the tenancy start date.
  • Answer and taking responsibility for calls and emails, ensuring notes are updated on QL or Jigsaw as appropriate.
  • Ensure emails are responded to within 5 working days and notes are added to the case file on QL
  • Work closely with colleagues, including other the company's departments, and other stakeholders.
  • Comply with the company's procedures and any relevant legislation.
  • Respond to the changing environment by showing flexibility and a willingness to take on new tasks, functions and responsibilities as required.
  • Provide administrative support to other functions within the Housing Options service when needed.
  • Support corporate safeguarding procedures and policies aimed to assist vulnerable children and adults.
  • Report any incidents of suspected fraud to the relevant senior officer, and to liaise with other departments such as the LBB corporate, anti-fraud team (CAFT), Housing Benefit, Internal Audit and Legal.

Skills and Knowledge Required

  • Excellent oral communication skills, including the ability to effectively engage with a diverse range of audiences, including colleagues and customers.
  • Good written communication skills.
  • Ability to liaise effectively with stakeholders inside the company, and externally.
  • Ability to stay calm, professional, and cope with difficult situations
  • Ability to be organised, and able to prioritise daily tasks.
  • Demonstrably good numeracy, appropriate to administrative support tasks.
  • Demonstrably good IT skills, including the ability to use spreadsheets and accurately entre data onto a database.
  • Ability to work flexibly as part of a team and support colleagues, including managers, as part of a team
  • Ability to operate effectively in a changing environment, to develop and acquire new skills and knowledge
