Job Title: Legal Receptionist

We are seeking a professional, organised, and friendly Legal Receptionist to join our clients team. Key Responsibilities:
Reception Duties:
- Greet clients and visitors in a professional and welcoming manner.
- Answer, screen, and direct phone calls promptly, ensuring all inquiries are handled professionally and efficiently.
- Manage incoming and outgoing mail and packages.
- Monitor office supplies and coordinate stock ordering.
- Maintain a clean and organised reception area.
Administrative Support:
- Provide general administrative assistance to legal teams, including filing, document preparation, and data entry.
- Assist with scheduling meetings, appointments, and conference calls.
- Update client records and ensure confidentiality at all times.
- Prepare client-facing documents and correspondence, as required.
- Assist in the management of legal calendars and deadlines.
Client Interaction:
- Liaise with clients to arrange consultations, meetings, and appointments with lawyers.
- Maintain a high level of client service, ensuring clients feel valued and supported throughout their visit or interaction with the firm.
- Manage client intake, ensuring necessary documentation is completed and all information is accurate.
Team Support:
- Provide administrative support to other departments within the firm as needed.
- Coordinate with legal assistants and paralegals to ensure smooth office operations.
- Assist with the preparation of legal documents, forms, and reports as required.
- Perform other ad-hoc duties as assigned by office management.
Skills & Experience:
- Previous experience as a receptionist or in an administrative role, preferably in a legal or professional services environment.
- Excellent communication skills, both written and verbal, with the ability to engage with clients and colleagues at all levels.
- Strong organisational and time management skills, with the ability to prioritise tasks in a busy environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A friendly, approachable, and professional attitude, with a strong customer service focus.
- A team player with a positive and proactive approach to work.
