Executive Assistant

My clients are a premier global i banking advisory firm. We are looking to recruit an EA for a 10 month contract.

Job Summary

To provide a professional point of first contact, high-level, client-facing administrative support to a team of investment bankers including 2 MD's, 2 Vice Presidents, 2 Associates and 4 Analysts.

Major Responsibilities/Activities

Extensive diary management - scheduling meetings, lunches, dinners and conference calls, across International time zones (including Zoom & Teams). Ensuring the necessary facilities are booked, either internally or in an external location if necessary.

Organising complex travel arrangements, researching to ensure flight/hotel costs are cost effective. Ensuring all visas and any other travel requirements e.g. ESTAs, API, hotel and car requirements, and boarding passes etc. are completed in a timely manner. Full itineraries to be added to Outlook calendars with close attention to time zones. On many occasions complex itineraries need to be changed at the last minute and flights rebooked at very short notice.

Education and Experience

  • Minimum of A-Level standard education (minimum Grade C English & Maths GCSE).
  • High standard of written and verbal English.
  • 5+ years of experience in a similar role and financial services environment.

Job Knowledge, Skills and Abilities

Calm nature, works well under pressure and shows initiative.

Excellent time management skills with the ability to prioritise workload is essential as is being able to multi-task in a pressurised environment and organise a diversified workload.

Maintain a full understanding of upcoming meetings and proactively manage diaries to ensure high priority meetings happen quickly.

Understand travel requirements to get to meetings in and outside of London, recognising the need to check social commitments before agreeing to trips that require an overnight stay and being able to coordinate complex, multi-location trips.

Self-motivated and proactive with an ability to work in a close-knit team.

Excellent verbal and written communication skills with an attention to detail.

Ability to multi-task and respond quickly and efficiently to all requests.

IT skills: Advanced Outlook, Word, Excel, and Powerpoint.

Ability to deliver high quality work beyond normal business hours when required.

Circa 55k

8.30-6pm

3 days a week in office (although may be more to start to get used to things)
