Collections Information Officer

Summary

We're looking for a Collections Information Officer to support the development of the National Trust's paint sample archive by ensuring data in the Collections Management System (CMS) is created and maintained in line with our data standards.

These samples represent miniature renditions of some of our most significant collection items, decorative interiors and estates. These paint samples contain evidence of materials, methods and techniques used by artists and craftspeople from 400BC to the present day. Your work will be instrumental in making these samples findable and accessible to internal and external researchers for the first time.

What it's like to work here

Under the guidance of the conservation scientist, your role will involve assisting in the implementation and development and application of data standards and procedures for this collection. You'll liaise with the Collection Management and Information team, conservation scientist, property teams, conservators, curators and building surveyors to identify, collate and organise the samples. Occasionally this will require travel to where collections are stored, which may involve overnight stays.

Your contractual location will be our Royal Oak Foundation Conservation Studio, and there will be an expectation for you to attend the office. However, there is flexibility on where you are based at other times. You will be required to work at a National Trust location for 40-60% of your working week. This will be discussed in more detail at interview.

What you'll be doing

You'll spend about 70% of your time supporting and coordinating the creation of data and the relocation of samples. You'll work with Trust colleagues and external institutions and consultants to identify the locations of our paint samples, using your effective written and verbal communication skills.

Using your system procedure expertise, you'll support new ways of working for how our paint samples, conservation science data and information is managed, by creating and delivering training.

To monitor the collation and development of this collection you will use your data manipulation skills to report on the progress of data creation and quality, and the relocation of the samples in a timely manner.

About 30% of your time will be focussed on priorities identified through research strategies or property need to develop the archive. You will prioritise this work by Improving Data Quality, creating data yourself and relocating them to the store.

  • Experience of collections management systems and data
  • Knowledge of collections management procedures and documentation standards
  • Advanced IT skills including using Excel to manage and manipulate data
  • Ability to plan and prioritise work effectively, to ensure delivery to deadlines
  • Support system users and deliver training and workshops
  • Ability to work as part of a team, sharing ideas and learning
