We are currently seeking a highly skilled and motivated Senior Administrator to join a hugely successful business, with a dynamic team, based in Whitstable. As the Senior Administrator, you will play a crucial role in providing administrative support to the Projects & Technical Director, ensuring smooth operations and effective communication within the organisation.

Location: Whitstable

Salary: £30,000

Hours: Monday - Friday, 9am - 5:30pm

Responsibilities:

  • Produce high-quality short term contracts and other documents using templates.
  • Ensure timely submission of documentation from subcontractors and employees, maintaining a comprehensive matrix for recording.
  • Coordinate travel arrangements for project teams, including flights, taxis, hotels, and visa applications.
  • Update company records and documents relevant to projects and teams.
  • Assist in the preparation and submission of tenders and O&M manuals.
  • Prepare meetings and related materials, and coordinate arrangements for Director's guests while demonstrating excellent hospitality skills.
  • Handle confidential documents with utmost discretion.
  • Manage projects payroll efficiently.
  • Perform general office duties, including maintaining digital and hard copy document libraries, files, and archives.
  • Communicate effectively with clients and contractors at a high level.
  • Attend and minute weekly projects meetings, including remote link-ins with site managers.
  • Multitask and prioritise tasks to manage changing requirements and react quickly to unforeseen circumstances, such as changing flights or mobilising additional staff at short notice.
  • Troubleshoot and problem-solve to overcome challenges.

Requirements:

  • Excellent proficiency in producing high-quality documents using Excel and Word.
  • Ability to work effectively in a fast-paced and reactive environment.
  • Strong written communication skills for producing professional correspondence.
  • Exceptional proofreading skills.
  • Knowledge of Microsoft Project software (beneficial).
  • Previous experience in a health and safety-driven environment (beneficial).
