We are excited to be hiring a new permanent Senior Team Administrator to join our fantastic Child and Family Contact Team. The Child and Family Contact Team is a frontline service responsible for coordinating and supporting the delivery of supervised contact between children and their families and operates from Leatherhead and Woking.

About the Team

The Child and Family Contact Team are a frontline team who take their instructions from the 4 area social work teams for coordination of safe and comfortable contact between looked after children and their families. We are split between 2 centres in Leatherhead and Woking, including our fabulous new building in Woking which provides first class accommodation for family time. The team provides a wealth of experience and knowledge in child care and will all go out of their way to ensure family time is a positive experience for all involved.

About the Role

As a Senior Team Administrator, you will be responsible for organising and coordinating all elements of supervised contact, including risk assessing referral forms, allocating contact to supervisors according to requirements and abilities. In addition, you will book appropriate venues and act as a key point of contact and work closely with Children's Services colleagues, including social workers, and when appropriate, liaise with parents and carers. You will be working in a fast-paced environment and the role requires you to be methodical, accurate and have the ability to prioritise your workload and adapt to changing circumstances.

Shortlisting Criteria

In this role you will need to be highly organised, willing to take responsibility and use initiative, finding it comfortable to manage your own workload and deadlines. You will make sure that everything is in place to guarantee that all runs smoothly for the processes and teams you support.

You'll use your excellent interpersonal skills along with a high level of written and oral communication skills to deal with our customers and sensitively handle highly confidential and extremely sensitive and explicit information.

To be considered for shortlisting for this position, your application will clearly evidence the following:

  • Have a solid background in administration with experience of working in a busy office environment and the ability to adapt to changing priorities in your workload
  • Have knowledge of supervised contact services as well as a good understanding of safeguarding and managing risk
  • Have excellent customer service and communication skills and the ability to remain calm in challenging situations
  • You are confident, organised and able to implement a proactive approach to your work, with the ability to take accurate phone messages alongside experience of managing difficult phone calls, at times of a highly sensitive nature
  • Have excellent IT skills and be proficient in using Microsoft Office, and especially Excel spreadsheets
