Responsibilities:

  • Collaborate with the Head of Operations to spearhead leadership, including the development of policies and procedures, in managing risks related to estate operations.
  • Ensure adherence to legal requirements concerning estate matters, which encompass but are not limited to regulations on Construction Design and Management (CDM), fire safety, asbestos control, Legionella prevention, gas safety, electrical standards, Lifting Operations and Lifting Equipment Regulations (LOLER), Local Exhaust Ventilation (LEV), manual handling, Display Screen Equipment (DSE), and Control of Substances Hazardous to Health (COSHH).
  • Establish a definitive protocol for routine verifications, assessments, and maintenance activities; this includes educating staff, hiring contractors, and conducting audits and performance reviews.
  • Oversee the delivery of soft facilities management services, with a focus on defining cleaning contract specifications, managing energy and utility provisions, overseeing waste disposal, and ensuring effective security and access control.
  • Work in tandem with the Head of Operations to formulate procedures for incident and accident prevention, reporting, and examination, as well as for emergency preparedness, business continuity, and accessibility. Provide support in probing and devising strategies to address any significant or intricate issues that may emerge.
  • Assume the role of technical leader for all property-related concerns within the organisation, ensuring that their facilities are secure and conducive. As a key member of the Core Services Team, responsibilities include: developing policies and procedures, delivering pertinent information, guidance, and training in these areas, conducting audits, ensuring compliance, and managing all elements related to the Health and Safety of the premises.
  • Supervise the Primary Estates Manager directly.
  • While each location has designated personnel or a team for daily operational tasks, this position is responsible for establishing a definitive compliance structure for site operations, offering technical support, addressing escalated issues, and approving all modifications related to the buildings. Additionally, this role encompasses the administration of the Capital Programme, which involves identifying, detailing, acquiring, and supervising projects across various locations.
