Reed is seeking an experienced Facilities Coordinator to join a Facilities team in a Government Department for a 3-month interim contract. The role is essential for maintaining a safe, comfortable, and compliant office environment and requires a hands-on approach to a variety of tasks.
Day to Day of the role:
- Serve as the first point of contact for facilities-related issues, including security, audio-visual equipment, cleaning, and stationery, etc.
- Assist in the management of the purchasing process for facilities goods and services.
- Adhere to government & organisational guidelines.
- Provide Health and Safety inductions to new staff and contractors.
- Manage computer-based records, ensuring up-to-date information on facilities issues.
- Perform daily checks of office systems and equipment to ensure functionality.
- Book visitors and contractors, manage goods lift schedules, and upload contractor documentation for work permits.
- Prepare meeting rooms, including setting up audio-visual equipment and organising refreshments.
Required Skills & Qualifications:
- 3 years' experience within a facilities team.
- Strong interpersonal and customer service skills.
- Ability to communicate effectively with senior management.
- Proven track record of liaising with contractors and managing procurement processes.
- Familiarity with computer-based record management.
- Current first aid and/or fire marshal training is advantageous.
- Candidates must be able to obtain SC level security clearance including passing a DBS check.
