HR and Facilities Coordinator

Purpose and Objectives

To provide HR administrative support to the People team and ensure that all HR related processes are carried out effectively and in compliance with our policies and procedures. Point of contact for employees regarding HR-related inquiries and processes. General administrative tasks across the business to include travel arrangements. Responsible for facilities across the two offices and ensuring the London office is secure.

Key Responsibilities

Talent Acquisition

Support with the recruitment process by advertising the roles and organising interviews with selected candidates.

On-Boarding

Support the onboarding process by preparing the offer pack which includes the offer letter and contract.

Liaising with the new starters to ensure they return their on-boarding forms ahead of their start date.

Complete the reference request process

Policies and ensuring they are updated by those responsible

Take responsibility for Health and Safety policy and ensure all associated documentation is maintained

Assist in formatting reports and producing reports for presentations

Provide diary management and administration support to senior management teams

Order laptop and mobile phone and ensure it is delivered prior to the employee's start date.

Employee record management

Maintain accurate and up-to-date employee records. Ensure the confidentiality and security of sensitive employee data.

End of Probation process

Complete the end of probation process which includes benefits management.

Payroll

Gather payroll information throughout the month and send to the finance manager.

Training and Development

Coordinate and schedule training sessions for employees.

Maintain training records and ensure that employees complete required training.

Off-Boarding

Process leavers and organise the exit interview.

Ensure that the IT kit is returned

General Colleagues support

Management of annual leave system and day-to-day staff queries

Arrange staff gifts, such as leaving cards/gifts

Manage travel & hotel bookings

Book meeting rooms

Ordering PPE for Altair's property team

General Colleagues support

Booking flights and accommodation for international travel

Arranging Visas

Supporting health checks / vaccinations etc. prior to travel

Process documentation for the international team. (incl. printing / posting / arranging the notarising and signing of hard copy documents)

Office Support

Ensure stock levels are maintained for all office administration supplies, including but not limited to; kitchen and cleaning supplies

Manage contract and price negotiations with office vendors and service providers

Ensure that all facilities-related matters are resolved in a timely manner and maintain all related contracts

Manage and communicate with the office cleaning services

Arrange regular testing for electrical equipment and safety device

Provide general support to visitors including booking lunches and providing refreshments

Take responsibility for fulfilling the role of Fire Marshal

Corporate Support

Policies and ensuring they are updated by those responsible
