We are looking for a proactive and organised Team Administrator to join our dedicated team. The successful candidate will play a crucial role in coordinating support from external agencies and ensuring the smooth running of multi-agency meetings. This role requires excellent organisational skills and the ability to work effectively under pressure.

Day-to-day of the role:

  • Organise and coordinate support for effective multi-agency meetings, including booking rooms, sharing reports, and ensuring all attendees are informed of any changes.
  • Arrange appointments and travel for Social Workers, Case Managers, and Personal Advisors, including organising interpreters when necessary.
  • Oversee individual and team calendars, ensuring all visits and meetings are covered and arranging cover when necessary.
  • Support and maintain duty calendars for teams, handling changes as required.
  • Scan and upload casefile documentation to relevant systems and complete notifications and actions for case files.
  • Act as a point of contact and liaison for teams within the organisation and with external agencies, taking calls, and answering queries from families.
  • Review team level data, remind team members of upcoming deadlines, and escalate issues to managers as needed.
  • Process invoices and raise requisitions on financial systems as required.
  • Assist with the induction of new starters and support the development of high-functioning teams.
  • Follow up on action items to ensure completion and add to agendas for further approval if needed.
  • Represent the company's values and contribute to a positive culture within the service.

Required Skills & Qualifications:

  • Strong organisational and coordination skills.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and prioritise work effectively.
  • Proficiency in using office software and systems for document management and calendar oversight.
  • Experience in handling confidential information and understanding of data protection regulations.
  • Ability to work independently and as part of a team.
  • Experience in administrative roles, preferably within a similar setting.
