We are seeking a Facilities Manager with 18 months or more of experience to join our team, managing a commercial portfolio in the Home Counties. The successful candidate will be responsible for the maintenance and day-to-day operations of commercial buildings and properties, ensuring that facilities operate smoothly and efficiently. This role requires a strong blend of technical expertise, management skills, and a deep understanding of safety protocols.

Key Responsibilities:

  • Maintenance and Repairs:

  • Conduct quarterly and monthly inspections to ensure all facilities are in optimal working condition.

  • Schedule and oversee routine maintenance and handle emergency repairs as needed.

  • Coordinate with contractors and service providers to ensure timely and effective service delivery.

  • Collaborate closely with the asset manager to keep tenants informed about ongoing and upcoming works.

  • Safety and Compliance:

  • Ensure all facilities comply with local, regional, and national regulations.

  • Conduct regular safety inspections and audits, implementing necessary safety protocols and emergency plans.

  • Maintain up-to-date records of compliance and safety measures.

  • Financial Management:

  • Manage the facilities budget, including raising purchase orders, performing reconciliations, and liaising with the accounts team.

  • Monitor and control expenses related to maintenance, repairs, and overall operations.

  • Identify and implement cost-saving opportunities without compromising service quality.

  • Ensure that tenants keep utilities payments up to date and handle service charge arrears and insurance claims.

  • Technical Knowledge:

  • Possess a solid understanding of building systems, including electrical, plumbing, and HVAC.

  • Familiarity with MRI Qube software is beneficial for updating maintenance schedules and inspection records.

  • Communication:

  • Serve as the first point of contact for tenants regarding all facility-related queries.

  • Exhibit strong verbal and written communication skills to interact effectively with staff, suppliers, and stakeholders.

  • Problem-Solving:

  • Take a proactive approach to identifying and resolving issues before they escalate.

  • Demonstrate the ability to make quick and effective decisions under pressure.

  • Attention to Detail:

  • Ensure all aspects of the facility are maintained to the highest standard.

  • Keep meticulous records and documentation for all maintenance, repairs, and safety inspections.
