The role supports a diverse range of customer-facing functions, enabling STFC to deliver reception services efficiently, and to a high standard to staff, visitors, tenants, and collaborators at Rutherford Appleton Laboratories.

Key role remit and accountabilities

To deliver professional front-of-house reception and administrative duties to STFC's security and reception services. The post will respond to operational needs and provide professional administrative support to ensure that day-to-day tasks and functions are attended to.

To act as first point of contact with customers via all means of communication and deliver a high level of customer service, working collaboratively and effectively with team members to ensure the smooth running of the services.

Key Responsibilities

  • Greet and book in all visitors using the EasyLobby booking in system, contacting their host and issuing passes and directing them to their rendezvous.
  • Monitor R75/R100 reception and events calendar
  • Provide co-ordination support for site visits and events.
  • Manage Reception in boxes and respond to emails in a timely manner.
  • R100 door access to be applied to visitor cards using C•Cure once access has been authorised.
  • Administer site pass office providing parking permits, admin and pass issuing.
  • Switchboard duties – directing external and internal enquiries and fielding of any inappropriate calls.
  • Monitor the CCTV system of R100 internally and externally.
  • Support Meetings and visits that are held in R75/R100 by ensuring that all passes/parking permits, site maps are issued accordingly.
  • Provide visitors with STFC wireless network internet access.
  • Raise Estates jobs on the Estates CAFM system, Civica and chase any outstanding jobs for Buildings R75 and R100.
  • Monitor EV charge points dashboard
  • General tasks to support Security or wider department as required.

Essential shortlisting criteria

  • 5 GCSE level passes (or equivalent or vocational experience), subjects to include English and Maths (grade 5 min)
  • Experience of delivering customer service / reception support in a busy environment and staying calm and professional under pressure
  • Good level of numeracy and literacy
  • Excellent communication skills, written and telephone manner
  • Ability to work on own initiative
  • Organisationally effective with ability to manage competing deadlines and switch between multiple workflows
  • Confidence and experience to effectively resolve difficult situations
  • Track record of reliability and punctuality
  • Experience in recording, maintaining, managing and extracting data from IT systems
  • Creating and adapting spreadsheets for operational requirements
  • IT literacy and must have good working knowledge of Microsoft Office (Excel, Outlook, Access) and web-based applications.
