About You

The Event Operations Manager will play a key role in the organisation, coordination, and execution of various domestic and international events, including exhibition and award shows, from conception through to delivery.

This busy position requires overseeing logistics, managing operational and logistical elements, and taking ownership of event execution, ensuring that all events are planned and delivered to the highest standards.

Experience working on the operations for exhibitions is mandatory for this position.

Core Tasks

  • Event Planning and Coordination:

  • Develop and execute detailed project plans for each event, including timelines, budgets, and resource allocation.

  • Coordinate with internal teams (marketing, sales, content, etc.) to ensure all event aspects are aligned with company goals.

  • Select and manage relationships with vendors, suppliers, and venues.

  • Manage floorplan layouts, ensuring compliance with venue and local authority regulations.

  • Collaborate with the marketing team to develop marketing collateral, such as exhibitor manuals.

  • Maintain an up-to-date supplier database.

  • Prepare and review contracts as necessary. Complete all event management paperwork accurately and on time.

  • Operational Management:

  • Oversee all logistical aspects of event setup, execution, and teardown, ensuring everything runs smoothly and efficiently.

  • Implement and manage registration processes, attendee management systems, and on-site operations.

  • Ensure compliance with health, safety, and legal regulations.

  • Budget Management:

  • Develop and manage event budgets, ensuring cost-effective resource allocation and adherence to financial goals.

  • Monitor expenses and identify opportunities for cost savings without compromising quality.

  • Team Leadership:

  • Lead and mentor the operations team, fostering a collaborative and productive work environment.

  • Delegate tasks effectively and provide guidance and support to team members.

  • Stakeholder Communication:

  • Act as the primary point of contact for all event-related communications with stakeholders, including sponsors, exhibitors, and partners.

  • Provide regular updates and reports to senior management on event progress, challenges, and outcomes.

  • Obtain quotes from contractors and liaise with third-party vendors, including audio-visual, stand build, and catering services.

  • Quality Assurance:

  • Conduct post-event evaluations to gather feedback and identify areas for improvement.

  • Ensure high standards of customer service and satisfaction throughout the event lifecycle.

Innovation and Improvement:

  • Stay current with industry trends and best practices to continuously improve event operations and attendee experiences.

  • Implement innovative solutions and technologies to enhance event efficiency and impact..

Key Skills

  • Established experience within Operations for Exhibitions. Experience working on large international exhibitions preferred.
  • Strong project management skills with experience managing and prioritising multiple events simultaneously, both domestically and internationally.
  • An aptitude for commercial decision-making and problem-solving.
  • Ability to work in a fast-paced, changeable environment while multitasking and managing numerous priorities.
  • NEBOSH or IOSH qualification. Strong understand of Health and Safety legislation.
  • Exceptional attention to detail and accuracy.
  • Outstanding communication skills, with a focus on stakeholder engagement and customer service.
  • Ability and willingness to work flexible hours and travel to both UK and international locations.
  • Awareness of digital and technical systems applicable to exhibitions is desirable.
  • In-depth understand of exhibition operations is a must.
