Job Overview

Working as part of an existing team in this office-based role of Trade Sales Administrator, you will be the first point of contact for our customers, swiftly addressing enquiries through phone and email in line with our own exceptional service level standards. Training on our products & of our bespoke CRM will enable you to provide quotations to our customers. You will process orders through to completion, while also engaging in negotiations on price, delivery, and product details. Critical to the role is the ability to follow up with customers, ensuring that all quotations are tracked and responded to promptly. You will also liaise closely with our factory to oversee order progression and cultivate strong, ongoing relationships with customers to uphold our commitment to outstanding service.

Main Duties and Responsibilities

  • Promptly respond to customer inquiries via email and phone, maintaining the gold standard of our Service Level Standards.
  • Use our unique quoting system to provide customers with accurate quotations.
  • Independently manage and process orders using our established system.
  • Engage in negotiations regarding price, delivery, and product specifications with both customers and our production team.
  • Ensure timely follow-up on quotations issued to customers.
  • Deliver exceptional customer service consistently.
  • Coordinate and liaise with other departments on queries and monitoring order statuses.
  • Foster and enhance relationships with assigned accounts through regular phone and email communication. Please note this role does not involve cold calling.
  • Maintaining paperwork as necessary for the operation of the sales department

The Trade Sales Administrator should be a natural at customer service, boasts strong administrative skills, excels in system and process navigation, and is adept at handling multiple tasks simultaneously. The ideal candidate should be able to remain calm under pressure and eager to be a part of a dynamic, office-based team known for its dedication and spirited work environment.

Experience, Skills and Knowledge

Essential:

  • At least 2 years' experience in administrative roles within busy work environments.
  • Hands-on experience of database software or CRM software.
  • Proficient in other computer usage, especially email, Word & Excel along with a good technical aptitude.
  • Skilled in fostering and developing professional relationships as well as being an excellent team player.
  • Capable of adhering to established systems and processes.
  • Excellent communication skills at all levels, both verbal & written.
  • Excellent interpersonal skills, with an ability to communicate effectively across departments.
  • Excellent attention to detail.
  • Prioritisation and time management skills with a proven ability to adhere to deadlines.
  • Calm under pressure.
  • Willingness to undertake training opportunities provided by the company.
  • Holds at least a grade C GCSE (or equivalent) in Mathematics and English

Desirable:

  • Familiarity with various printing techniques.
  • A keen sense of design aesthetics, with a good eye for colour.
  • Proficiency in using Apple Mac computers.
  • At least 4 other GCSE's (or equivalent) at grade C or above.
  • 2 or more A-levels (or equivalent)
  • Completion of an apprenticeship in a similar role.
  • Driving licence due to location
