ALL LEVELS OF EXPERIENCE CONSIDERED

All levels of experience considered. Although you will need previous administration experience. Candidates with Office Manager experience will also be considered, which will also be reflected in the salary offered based on your level of experience.

SALARY: up to£24,000 per annum (depending on experience) + Benefits

LOCATION: Weston-Super-Mare, Somerset (BS22) - 100% Office based

JOB TYPE: Full-Time, Permanent

WORKING HOURS: Monday- Friday - Times worked can be negotiable and flexible

KEY REQUIREMENT: Candidates MUST have a full, clean driving licence and own car

Working as the Administrator / Facilities and Marketing Assistant you will be responsible for supporting and monitoring staff in the use of IT, liaising with the outsourced IT support company and ensuring that the Firm has effective IT data security, back-up and maintenance in place.

As the Administrator / Facilities and Marketing Assistant you will be assisting the Managing Partners with the procurement of the Firm's systems, equipment, supplies and services within target budgets.

DUTIES

Your duties as a Administrator / Facilities and Marketing Assistant will include:

  • Supporting and monitoring staff in the use of IT, liaising with the outsourced IT support company and ensuring that the Firm has effective IT data security, back-up and maintenance in place
  • Assisting the Managing Partners with the procurement of the Firm's systems, equipment, supplies and services within target budgets
  • Drafting of marketing materials and advertisements and liaising with Marketing suppliers and Publishers with regards to marketing campaigns
  • Developing and reviewing Health & Safety policies and procedures and keep abreast of current legislation
  • Assisting with the updating of the office administration procedures in the Compliance Manual
  • Assisting the Managing Partners in liaising with utility suppliers including (but not limited to) electricity, gas, telephones and water coolers ensuring a cost effective solution
  • Managing the recording and maintenance of the accident book, first aid boxes, boiler/equipment servicing, contracts and maintenance in electronic and physical files
  • Arranging appropriate buildings and office insurance cover
  • Ensuring that the Firm's premises are properly maintained and cleaned, and that adequate fire prevention and security systems are in place
  • Recording faults and maintenance issues and liaising with third parties in order to resolve all general maintenance issues
  • Assisting the Partners with the provision of offsite storage of archived files, wills and documents

CANDIDATE REQUIREMENTS

Essential

  • Have a full, clean driving licence and own car
  • Achieved a GCSE Grade A-C or equivalent in English and Maths
  • IT literate and have a strong working knowledge of Microsoft Office
  • Administration experience
  • Ability to apply good communication skills at all times
  • Be warm and welcoming to all visitors and be motivated with all calls
  • Ability to handle all calls in a courteous and professional manner
  • Demonstrate a flexible, proactive, positive can-do attitude in their support which will include visiting all of the firm's offices when required
  • Be a team player who is friendly and approachable but will also be able to work autonomously
  • Effectively manage own time, workload and resources
  • Ability to work under time pressures
  • Be local to the Weston-Super-Mare or surrounding area

Desirable

  • Marketing experience including drafting of marketing materials
  • Completion of a business administration course
