Role Overview

Join our dedicated Private Client team as a Legal Secretary in an office-based role, where you will play a key role in supporting our solicitors and fee earners with crucial administrative and clerical duties. You will help maintain the smooth operation of the department by providing comprehensive support in document preparation, client interaction, and case management.

Hours of Work Full Time: 35 hours per week, 9.00-5.00pm Monday to Friday.

Salary Up to 29k per annum (depending on experience)

Do you have at least 2 years of experience providing comprehensive administrative and clerical support within a legal setting, ideally within in a Private Client department? If so, we'd love to hear from you!

In this role, you'll:

Client Support:

  • Be the friendly first point of contact for our clients, both in person and via phone/email, setting the tone for their experience with us.• Schedule and coordinate consultations and appointments.• Assist clients with inquiries and relay messages to appropriate legal staff.Administration:
  • Provide comprehensive administrative support by preparing, formatting, and proofreading legal documents, managing calendars, and organising client files to ensure confidentiality and compliance.• Accurately transcribe dictations from legal professionals, ensuring all documents are proofread for grammar, punctuation, and accuracy.• Handle communications (mail, email, phone calls) and manage both physical and electronic filing systems.• Prepare and send correspondence, ensuring all communications are professional and prompt.• Keep our Fee Earners organised by managing their calendars and ensuring all case deadlines are met with timely follow-ups.• Provide backup support to other administrative staff as needed.

Legal Research and Support:

  • Conduct basic legal research under the direction of solicitors.
  • Compile and organise information for legal proceedings.
  • Assist in the preparation for trials, hearings, and depositions.

In this role you will be required to work closely with solicitors, paralegals, and other legal staff to support case management and participate in marketing activities, whether firm wide, departmental or office based.

What We're Looking For:

We are looking for a skilled Secretary, ideally within a legal firm, with expertise in accurately transcribing dictations, managing client interactions, and handling inquiries and consultations with professionalism.

The ideal candidate will have experience in legal research, supporting case preparation, and ensuring compliance with governed standards, i.e. SRA standards. Strong proficiency in MS Office and legal software as well as adaptability to new systems is essential, alongside excellent attention to detail in document preparation and proofreading. Time management and organisational skills are crucial for handling multiple tasks, managing deadlines and court schedules and maintaining well-organised client files in this fast-paced environment.

Proactivity and independence are essential, as you will confidently take initiative while knowing when to seek guidance. We highly value dependability and collaboration, especially as you work closely with solicitors, paralegals, and administrative staff to support case management, assist with billing, invoicing and financial tracking and contribute to team improvements. Your dedication to client service will shine as you manage inquiries promptly and maintain strict confidentiality in all matters.
