Your New Role:

You will be working as part of a fast paced and highly successful client engagement function, the Bid Administrator provides support to the bid management team - completing questionnaires, portal registrations and updates, co-ordinating all necessary documentation, and preparing bid/proposal documentation as required. This role is vital to the success of the bid management team.

What it looks like day to day:

  • Complete client documentation as per individual client requests
  • Update and maintain client portals and alerts with insurance and policy information
  • Respond to ad-hoc queries from the business or our clients
  • Manage and update Bid Administrator Manual
  • Prepare bids in response to client requirements that meet bid brief (as laid down by Bid Manager/Director)
  • Develop responses that convey operational and commercial solution(s) in a clear and concise manner
  • Use effective prose to reflect key themes and sales messages that the bid text must convey
  • Create custom sections of text when directed by the Bid Manager/Bid Director
  • Ensure proposals are produced within required timescales
  • Adhere to Hays writing and style guides, including tone of voice / grammar
  • Compliance with corporate policies, procedures and brand protocols
  • Assist Bid Managers/Directors in completing online Bids and RFIs
  • Prepare final bid documentation for postal deadlines

What you'll need to succeed:

  • Strong communication skills, confident and articulate in all communications and at all levels (i.e., face-to-face, telephone and written)
  • Excellent attention to detail, maintaining high standards of delivery, quality and accuracy
  • Presents, explains and interprets information accurately and clearly
  • Excellent grammar and writing skills
  • Highly organised
  • Ability to understand a client's needs and contribute to solution formation
  • Good team worker; able to build and maintain positive and open working relationships with colleagues
  • Able to liaise effectively with Hays departments and clients to define/ clarify requirements and collate relevant data / information
  • Computer literate and familiar with MS Office applications (Word, Excel, PowerPoint, Outlook) and others
  • Self-motivated to set and prioritise work schedule and manage time effectively. Thinks ahead and pre-empts potential problems. Pro-active approach
  • Highly flexible approach to react to changes within the business, quick to identify which tasks are a priority
  • Faces all challenges and problems with a sense of responsibility and self-management, following issues through to resolution.
