Position Overview:

We are seeking a motivated and organised Lettings Administrator to join our client's dynamic team. As a Lettings Administrator, you will play a crucial role in ensuring the smooth running of their property letting operations. If you have a keen eye for detail, excellent communication skills, and thrive in a fast-paced environment, we encourage you to apply.

Responsibilities:

Answering Phones:

  • Serve as the first point of contact for all incoming calls.
  • Provide professional responses to general enquiries.
  • Direct calls to the appropriate team members as needed.

Sales and Lettings Enquiries:

  • Manage and respond promptly to sales and lettings enquiries via phone, email, and in-person.
  • Provide accurate information regarding available properties, tenancy agreements, and the application process.
  • Maintain up-to-date records of all enquiries in the CRM system.

Sales and Lettings Viewings:

  • Schedule and coordinate property viewings for potential tenants and buyers.
  • Accompany clients on property viewings, ensuring properties are presented to a high standard.
  • Follow up with clients after viewings to gather feedback and answer any additional questions.

General Lettings Administration:

  • Prepare and process tenancy agreements, referencing, and all other related documentation.
  • Assist in the preparation of property listings, ensuring all details are accurate and up to date.
  • Manage the onboarding process for new tenants, including arranging move-in dates and ensuring all compliance checks are completed.
  • Maintain and update property management databases and filing systems.
  • Liaise with landlords, tenants, and contractors to resolve any maintenance issues.
  • Support the team with ad hoc administrative tasks as required.

Requirements:

  • Previous experience in a similar role within the property or lettings industry is preferred.
  • Strong communication skills, both written and verbal.
  • Excellent organisational skills with the ability to multitask and prioritize workload effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM systems.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • A proactive approach with strong problem-solving abilities.
  • A professional and customer-focused attitude.
  • Full UK driving license and Own Transport.
