Fleet & Business Support Executive

Working with a growing SME in North Bristol you will play a key role in keeping our fleet of vehicle running to support the service delivery of the business. You will be mainly supporting the operational side of the business but will also cover the whole business in a supporting role with IT, Onboarding & Offboarding requirements.

Some of the responsibilities of your role will include:

  • Day-to-day Fleet administration across the business, undertaking senior administrative tasks to maintain the running of the fleet.
  • Work alongside managers and HR across the business to provide data.
  • Documenting and actioning vehicle checks via system and emails.
  • Manage the relevant fleet management software
  • Organising maintenance, repair, replacement and disposal of vehicles and associated equipment
  • Initial investigation of fleet related issues such as accidents and driver behaviours
  • Administration of the vehicle accident process – from initial report through to repair, including liaison with insurers & Line Managers, in line with company procedures
  • Processing company penalty charge notices and traffic contraventions
  • Monthly reports on usage of various fleet accounts, such as driving/tracker records/vehicle checks
  • Maintaining precise and timely records to ensure accurate processing of P11D submissions with accounts
  • Working with Finance to ensure accurate records and payments
  • Managing of fuels cards
  • Sourcing new vehicle, providing specifications and pricing to support management decision making.

IT Experience preferred but not essential

  • Responsible for new starter set up and changes for users including issuing new equipment both phones and IT.
  • Identify new equipment requirements, work with External IT Company and managers to specify and purchase and implement
  • Liaising with IT support company
  • Phone systems and mobile phones management

Business Support

  • Manage and maintain asset lists.
  • Ad-hoc duties as required to suit the need of the business
  • Creating and updating processes to support the fleet and IT function of the business.
  • Infrastructure audits (Office checks etc)
  • Raising Purchase Orders for Office Items & stationary
  • Supporting HR Department where applicable
