The Opportunity:

Applications are invited for the post of Governance Support Officer. The main purpose of this post is to support and assist the Company Secretary in the efficient delivery of governance and secretariate services across SRUC, including for the Board, sub-committees and Executive Leadership Team. Accurate records management and Freedom of Information request processing are also key aspects of the role, maintaining confidentiality while supporting Non-executives and Executives.

Duties/Responsibilities will include:

  • Assisting the Company Secretary in the efficient execution of professional secretariat services across SRUC and the governance structure. Providing input into governance systems so they run as efficiently as possible with continuous adaptability and improvement.
  • Writing minutes to a high standard in a timely manner, preparing draft agendas for meetings, and operating an efficient action tracking system. Playing a key role in effective and timely communication between decisions at meetings and with colleagues responsible for actions.
  • Collating and distributing papers for Board and committee meetings (currently 2 Boards, 5 sub-committees, bi-weekly ELT meetings, ad-hoc short life working groups). Drafting cover notes for papers as required. Using 'TeamEngine' to collate and distribute the papers.
  • Records maintenance and keeping key company governance files and information up to date, including internet and intranet information/documents.
  • Arranging all details of above meetings, including room bookings, catering, IT details, travel/accommodation needs for non-executives. Pro-actively problem solving and sorting details as required.
  • Recording of Freedom of Information requests and collating responses.
  • Supporting Data Protection initiatives as prompted by the Company Secretary and Information and Data Services (IDS).
  • Raising Purchase Orders, processing invoices, aiding Non-executives with expense claims.
  • Answering general queries from Non-executives and Executives. Providing a high level of service.
  • Maintaining confidentiality at all times.

Minimum Qualifications:

The ideal candidate should be educated to SCQF Level 6-7 or above.
