Fleet Administrator

A Fleet Administrator is required on a full time temporary basis. The successful candidate will provide day to day Fleet support in the management, maintenance and servicing of all company vehicles. You will have strong administration skills, with excellent attention to detail and is highly organised who has experience in using a multiple of different IT systems. Fleet Admin is not essential as long as you can demonstrate solid admin experience together with good customer service experience

Working Monday to Friday on a hybrid basis.

Fleet Administrator duties:

  • Answering Fleet Enquires telephone line
  • Responding to generic Fleet email enquiries
  • Contacting operatives to confirm MOT and Service attendance
  • Booking hire vans as required
  • Updating Fleetcheck system
  • Ad hoc administration duties
  • Planning, directing and monitoring preventive maintenance and repair programs for all the company fleet by arrange bookings for vehicles to be serviced with various garages in accordance with manufacturer's recommendations and contract hire company requirements and raising appointments on our database.

To ensure that all arrangements for the statutory MOT tests for the vehicle fleet are made in good time, liaising effectively with contract supervisors and planners.

  • To maintain vehicle history files and make them available for inspection by any Statutory body and in respect of the legal requirements.
  • To maintain the fleet software system through data input from a variety of vehicle information sources.
  • Update all vehicle records with relevant fleet documents and reports onto fleet software system and administer and update driver records on all fleet systems.
  • Proactively assist with the fleet team workload and mailbox.
  • Communicate delivery progress to drivers
  • Facilitation of replacement hire vans for short and long term, courtesy use and vehicle breakdowns
  • Fines management - Parking, speeding and traffic offences
  • Arrange glass and windscreen repair
  • Updating driver cards
  • Day to day driver contact by phone or email including complaints management
  • Communication to drivers through Work Place (Intranet)
