Our client is a boutique property management specialist who offers comprehensive property management services for both commercial and residential clients with the service offered being at the heart of everything they do. We are currently recruiting for a Facilities Administrator for a commercial property based in Caterham.
Job Title: Facilities Administrator - Part-time
Salary: £24,000 - £27,000 pro rata
Location: Caterham, Surrey
Hours: Monday to Friday (25 hours per week)
The Role:
Responsible for supporting the Building Manager to ensure smooth property operations. This active role involves frequent communication with tenants, contractors, and stakeholders, and regular movement throughout the building, including plant rooms, offices, and retail spaces. The Facilities Administrator also maintains internal systems and online portals.
Day-to-Day Responsibilities:
- Supports the Building Manager in coordinating planned and reactive maintenance, ensuring timely completion of works and accurate record-keeping in the CAFM system (Vantify).
- Manages contractor access, property inspections, and compliance documentation for health and safety and insurance requirements.
- Handles tenant queries, maintains site records, and oversees service contracts and supplier onboarding processes.
- Monitors purchase orders, utility meter readings, and key/visitor access logs.
- Assists with building checks, minor repairs, and operational support for The Q managed office space.
- Acts as first point of contact in the Building Manager's absence, including responding to emergencies and fire alarm activations.
- Maintains clear communication with tenants and contractors, ensuring professional and efficient property management services.
Key Skills & Competencies:
- 2-3 years' administrative experience.
- Strong IT skills (Excel, Word, Outlook).
- Excellent communication and organisation.
- Professional, approachable, and proactive.
- Attention to detail and reliability.
- Flexible with working hours.
