PA to MD & Operations Director

Are you a highly organised, proactive, and dynamic individual looking to support senior executives in a thriving homebuilding company? My client is seeking a dedicated Personal Assistant to the Managing Director and Operations Director. This role will play a crucial role in their mission to create exceptional homes and communities.

Key Responsibilities:

Meeting and Diary Management:

  • Coordinate and manage the MD and Operations Director's schedules.
  • Arrange and prepare for meetings, ensuring all necessary documents and details are provided.
  • Organise internal and external meetings, including logistics and follow-up.

Inbox Management:

  • Monitor and manage the MD and Operations Director's emails, prioritising urgent matters.
  • Draft and respond to emails on behalf of the executives as needed.
  • Ensure important communications are addressed promptly.

Event Management:

  • Plan and execute company events, meetings, and conferences.
  • Handle venue bookings, catering, and all event logistics.
  • Coordinate team-building activities and corporate social events.

HR Administration (using BrightHR):

  • Manage new starter and leaver processes, including onboarding and exit interviews.
  • Oversee holiday and sick pay administration.
  • Process expense reports and ensure timely reimbursement.

Office Management (Ad hoc):

  • Ensure smooth daily operations of the office.
  • Handle procurement of office supplies and manage vendor relationships.
  • Address any ad hoc office issues, ensuring a professional and efficient work environment.

Key Skills and Attributes:

  • Exceptional Organisational Skills: Ability to multitask, prioritise, and manage time effectively.
  • Excellent Communication: Strong verbal and written communication skills.
  • Proactive Attitude: Ability to anticipate needs and act with initiative.
  • Tech-Savvy: Proficient in Microsoft Office Suite and experience with HR software (BrightHR preferred).
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.
  • Discretion: Maintain confidentiality and handle sensitive information with integrity.
