Accounts Administrator

About The Role
You will be working Monday and Wednesday, 08:00 to 16:00, 15 hours per week, on a temporary, part-time basis.

Overall, Purpose of the Role:

  • Able to carry out administration tasks in accordance with company policies and procedures and complete in line with OCS compliance standards. Monitor shared enquiries as the main communication tool.
  • Administer, process and report on financial and personnel information generated by the site and Head Office.
  • Assist generally with payroll across the sites and enter data onto the Timegate system.
  • Produce data & statistics information required. Produce KPI information for the client.
  • Create power point presentations and excel sheets as required on request.
  • Organise & Host visitors when needed. Book meeting rooms across the estate when required. Liaising with external suppliers.
  • Attend weekly/monthly meetings on & off site, taking notes/minutes.
  • Assist the Account Support Manager with financial & accounting duties.
  • Process all company financial information including purchase orders and overheads for Cleaning & Waste as requested.
  • Placing consumable & chemical orders across the estate with direction on the Site Managers.

Main Duties & Responsibilities of the Role:

  • Deliver a consistent level of service within the Company's standard & contract specification and agreed performance.
  • Assist with the monitoring of all personnel files for the sites, ensuring files are maintained on site with all information required by the company.
  • Assist with the inputting and receiving of unit invoices where necessary.
  • Assist with stock purchased for the site, processed and assist with stock take count for each financial period if required.
  • Understand the company on-site accounting systems and ensure timely reconciliations are adhered too.

Requirements:

  • Educated to GCSE level or equivalent.
  • Business Administration - an advantage.
  • NVQ Equivalent - an advantage.
  • People management skills.
  • Must be Computer literate.
  • Fully fluent in spoken & written English.
  • Able to motivate and develop subordinates if necessary.
  • Must be flexible and adaptable.
  • Be proactive always.
  • Able to communicate effectively at all levels in the organisation & clients.
  • Customer focused.
  • Excellent personnel management skills.
  • Must be able to train and deliver where appropriate.
  • A resilient and robust nature is essential.
