Financial Admin Assistant

Working for premium retailer to support the RDVM (Retail Design and Visual Merchandising) and Field Merchandising teams.

Here are some key points:

Main Contact: Serve as the primary liaison for purchasing and financial queries.

PO Management: Handle purchase orders (POs) for all brands, including raising, tracking, and approval processes.

Project Management: Ensure timely completion of projects and adherence to processes.

Platform Ambassador: Represent and promote the L'Oréal purchasing platform, My Market.

Invoice Resolution: Collaborate with accounts payable to resolve invoice and PO discrepancies.

Budget Support: Assist RDVM teams with budget planning and management, including asset-related activities.

Budget Tracking: Manage and track annual and quarterly budgets for all brands, covering both CAPEX (capital expenditure) and OPEX (operational expenditure).

Financial Reporting: Support finance by actualising monthly budgets and preparing spending summaries.

Process Improvement: Maintain and streamline trackers and Excel spreadsheets.

Compliance: Ensure compliance with purchasing and finance procedures.

Supplier Communication: Maintain regular communication with suppliers to ensure smooth payment processes.

Data Analysis: Analyse store sell-out data and calculate ROI to optimise spending.

Asset Management: Review investments in store assets and maintain relationships with the assets team.

Skills and Qualifications:

Organisational Skills: Strong organisational and administrative abilities.

Stakeholder Management: Ability to manage various stakeholders effectively.

Microsoft Office Proficiency: Advanced skills in Excel and PowerPoint.

Presentation Skills: Confidence in delivering presentations.

Communication Skills: Strong written and verbal communication skills.

Analytical Skills: Comfort with numerical data and analytical tasks.

Process Improvement: Ability to establish and improve processes and solve problems.

Financial Understanding: Good understanding of CAPEX and OPEX.

Interest in Retail Design: Keen interest in Retail Design and Visual Merchandising.

Creative Mindset: Determined and creative approach.

Experience with POs and Invoices: Experience in raising POs and handling invoices.

SAP Familiarity: Familiarity with SAP software.

Luxury Retail Experience: Experience in luxury retail is a plus.

Passion for Beauty Industry: Passion for the beauty industry is a plus.

Interest in Design and Architecture: Interest in learning about design, architecture, and the luxury retail industry is a plus.

Core KPIs:

CAPEX & OPEX Management: Ensure proper tracking and reporting of CAPEX and OPEX, and timely SRI and closures.
Budget Construction: Develop budgets for RDVM & Field Merchandising teams accurately and on time.

Purchasing and Finance Compliance: Ensure compliance with purchasing and finance policies, and efficiently manage POs and GRNs to minimise discrepancies and delays.
