Workplace Technology Engineer

Our leading legal client are looking to recruit a Workplace Technology Engineer (Video Conferencing, MS Teams, Meeting Room Systems, Room and Desk Booking Systems, Workplace Systems) on a permanent basis to assist on an exciting programme of work that will see its numerous offices transformed into an inspirational, modern workplace designed to enhance the firms hybrid working practices.

The right Workplace Technology Engineer will focus on managing and optimizing our digital workplace environment, including Microsoft Teams Rooms, internal meeting room technology, room and desk booking systems, digital signage, and building management and security systems.

Job Responsibilities

Video Conferencing Systems:

  • Manage the deployment, ongoing management and support of video conferencing systems (e.g. Teams Rooms, Zoom, Webex).
  • Optimise meeting room systems to ensure high-quality video and audio experiences in all video conferencing sessions.
  • Troubleshoot and resolve issues related to video conferencing equipment and software.
  • Ensure video conferencing systems are integrated and operate smoothly with Microsoft Teams as well as 'BYOM' modes of operation.
  • Ensure all meeting room technologies (displays, projectors, audio and video systems) are functional, patched and up-to-date, to assure both security and functionality.
  • Provide very occasional backfill support for the firms AV Technicians in London during any periods of absence (e.g. annual/sickness leave).

Microsoft Teams:

  • Help implement, and maintain Microsoft Teams communications, including Teams Phone and Teams Rooms.
  • Configure and manage relevant Teams policies, settings, and features.
  • Provide technical support and troubleshooting for Teams-related issues.
  • Stay updated with new features and updates in Microsoft Teams.
  • Configure, manage, and optimize Microsoft Teams for the organization.
  • Provide technical support for end-users on Teams features.
  • Help to implement and manage Teams policies, security, compliance, and governance (working alongside the firms Info. Sec., desktop and applications support teams
  • Troubleshoot and resolve Teams-related issues and outages.

Meeting Room Systems:

  • Oversee the setup and maintenance of internal meeting rooms.
  • Oversee the setup, maintenance, and optimization of meeting room technology.
  • Implement solutions for booking systems and resource scheduling for meeting rooms.
  • Ensure meeting room equipment (e.g., cameras, microphones, speakers, displays) is functional and up-to-date.
  • Provide support and troubleshooting for in-room audio/visual equipment.

Supplier and Vendor Management:

  • Participate in projects to deploy and upgrade digital workplace systems.
  • Coordinate with vendors and internal stakeholders to ensure project goals are met.
  • Maintain project documentation and report on progress and outcomes.
  • Collaborate with cross-functional teams to ensure successful project delivery.

User Guidance and Support:

  • Support the AV Technician role to deliver excellent service to our people and Clients, sharing knowledge and mentoring as appropriate.
  • Create and maintain documentation, including training material for non-technical colleagues.
  • Create user guides, FAQs, and documentation to assist users.
  • Provide ongoing support and address user inquiries and issues promptly.

Technical skills / experience required for this Workplace Technology Engineer opportunity:

  • Minimum of 3-5 years of experience in IT support or as an AV Technician (with exposure to IT infrastructure and networking touch-points), with a focus on digital workplace. technologies, collaboration tools and AV/video conferencing systems.
  • Proven experience managing Microsoft Teams Rooms environments.
  • Experience with meeting room technologies and AV equipment.
  • Excellent problem-solving skills and the ability to troubleshoot complex technical issues.
  • Strong communication and interpersonal skills, with the ability to train and support end-users.
  • Knowledge and experience of network infrastructure, both LAN and WLAN as it relates to video conferencing and collaboration tools.
  • Experience with room and desk booking systems and digital signage solutions. Specific experience with AppSpace or GoBright is desirable.
  • Experience of using and administering building mgt. systems (BMS), building security and access systems, Smart-locker systems are highly desirable.
  • Experience with PowerShell scripting for automation and management of Microsoft Teams is desirable.
