PA / Team Administrator - Bristol Development Team.

Role Overview :

An opportunity to join the South West and South Wales development team, based in the Bristol office as PA/Team Administrator. You will be working in a team of 10 alongside another administrator. We are a successful regional team specialising in all aspects of residential and commercial development, consultancy and valuation.

Team Overview :

The team consists of 11 team members which include 5 Directors, 1 Associate, 1 Surveyor, 1 Graduate, 1 Apprentice and 2 administrators.

The Team forms part of a regional development network which encompasses the Bristol, Cardiff and Exeter Development teams. The regional team is part of the UK Development Services Division covering 21 offices across the UK.

Key Responsibilities :

  • Maintain accurate and up-to-date diaries, arranging both internal and external meetings, booking meeting rooms and arranging lunches.
  • Booking team travel including trains and hotels.
  • Handling all invoicing and accounts for the team including raising POs, billings, disbursements and debtors.
  • Opening new job files and maintain accurate documentation on file throughout the job including compliance matters and archiving as appropriate.
  • Providing PA and secretarial support by way of typing, dictation, formatting reports, drafting marketing particulars and liaising with photographers.

Key Skills :

  • Proven administrative and organisational skills with previous experience in a PA/Admin Role.
  • Excellent verbal and communication skills - professional manner, the ability to work effectively with individuals at all levels.
  • Self motivated with the ability to demonstrate reliability, flexibility and loyalty, can prioritise workloads and be able to work under pressure.
  • Intermediate to advanced knowledge of the Microsoft Office suite - Word, Excel, PowerPoint and Outlook and the ability to pick up new applications.

Additional Responsibilities :

  • Co-ordinating weekly team meetings, circulating the Agenda and providing a debtor report ahead of the meeting.
  • Proactively ensure team members are kept up-to-date of diary schedules on a weekly basis.
  • A team player, both within the immediate team and wider Savills business.
  • Ensuring CVs, Case Studies and Team sheets are kept up-to date.
  • Managing contact database.
  • Maintain accurate and up-to-date filing for the team.
  • Arranging and coordinating team meetings, lunches and events.
  • Confident with a positive outlook
  • Processing expenses for fee earners.
  • Liaising with other Savills offices/staff especially within the development teams.
  • Arranging client gifts as and when required.
  • Keeping the Head of Team's inbox up to date and monitoring inboxes for directors when they are on holiday or absence from the office.
  • Provide holiday/sickness cover or assistance to wider team/office administrative support as and when required.
