Receptionist

Our client, within the legal industry is seeking a Receptionist to join their busy team. You will be the face of the organisation, providing a warm, welcoming first impression of the highest standard when clients enter the building.

Duties will include:

  • Answer all external calls in a confident and courteous manner.
  • Look after clients in reception area, notifying colleagues of their arrival and showing them into the meeting rooms as required.
  • Working with tact and discretion with clients on the telephone/face-to-face.
  • Liaise with and respond to email and verbal requests/queries from all clients (internal and external) in a prompt and professional manner.
  • Receive and sort mail and deliveries, scanning all incoming mail to the client management system and arranging deliveries via external couriers.
  • Taking card payments from clients either in person or over the phone.
  • Assist with preparation and organisation of legal documents, including filing, scanning, and photocopying.
  • Overseeing all emails coming into the info@ mailbox and forwarding into the correct recipient.
  • Handle confidential and sensitive information with integrity and discretion.
  • Manage office supplies inventory and place orders as necessary.
  • Provide support for special projects and tasks as assigned by management.
  • Overseeing facilities within the office and reporting to the necessary departments.
  • Distribution of files/deeds/wills from off-site storage premises.
  • Provide general clerical and administrative support.
  • Managing meeting room bookings using online system.

Suitable candidates should possess the following attributes and experience:

  • Previous experience within a similar role, ideally within a legal setting or within a similar environment, such as a doctors surgery, accountants etc
  • Be well presented with excellent communication skills.
  • Proficient in Microsoft Office suite (Word, Excel, Outlook) and other office software.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy in work.
  • Ability to maintain professionalism and composure in high-pressure situations.
  • Reliable and punctual with a positive attitude.
  • Ability to work independently as well as part of a team.
  • Must be able to learn and adapt quickly and are able to absorb information in a useful way.
  • Take ownership of tasks with minimal supervision and follow through to completion.
