Our client are looking for a highly organised and personable Receptionist/Administrative Assistant to join our team. This position requires a proactive individual who can handle multiple tasks efficiently while maintaining a welcoming atmosphere for our clients and visitors.
Primary Responsibilities:
- Provide support to paralegals, the office manager, and other staff to ensure smooth office operations.
- Prepare mail and enclosures for dispatch.
- Distribute mail deliveries daily.
- Greet and welcome visitors upon arrival.
- Answer, screen, and forward incoming calls.
- Ensure the reception area is tidy and presentable.
- Perform other duties and responsibilities as required.
- Prepare correspondence using our case management system.
- Administer filing systems, including daily filing and the opening, closing, storage, and retrieval of client files.
The Person
- Excellent experience in reception duties.
- Experience working within a legal environment.
- Ideally, some administration experience within residential conveyancing (preferred but not essential).
- Demonstrated initiative.
- A good telephone manner and comfort speaking with clients both on the phone and in person.
- Highly organised, methodical, and presentable.
