Executive Assistant to Managing Director

About the role

  • We are looking to recruit an Executive Assistant to the Managing Director to join our friendly team at Higgins Partnerships Plc based in Loughton, Essex.
  • This will be a fantastic opportunity for an individual with proven experience in a similar role, desirably within the construction industry
  • The purpose of this role is to Provide administrative support to the Managing Director, Commercial Director, Regional Directors, and Regional Project Teams, with tasks such as diary management and arranging internal / external meetings.
  • A vital part of this role include collating, processing and distributing all documentation for monthly Regional Review meetings and Board Reports, as well as producing and distributing the monthly Regional Review Meeting Minutes. Additionally, collating and processing RAG reports, and Operating Statements from the Regional Directors to produce Partnership Board Report ready for distribution to the managing director.
  • Key functions of the role will include processing invoices and raise orders for submittal to the account departments, collating monthly regional staff allocations and staff monthly expenses claims for submittal to the Payroll Department.
  • The role will also include receiving PRM monthly reports and record accordingly in the appropriate folder. As well as monitoring and updating the Contracts in Progress document and update the Site Address and Telephone List, uploading this to our document management system and distribute to other departments.
  • The individual will be expected to assist the Legal Services and Completed Contracts team with input into Bonds records, Completed Costs records etc.

Other aspects of the role and tasks include:

  • Record submission of Asta Programmes received from Regional Project Teams and provide updates on a weekly basis and file in appropriate project folders.
  • Process Retention Releases as and when required.
  • Monitoring adherence to Contracting Department procedures.
  • Assist with the audit process including collating the required financial information ready for financial audits
  • Ad Hoc tasks
