The Role: PA / Admin Assistant

Location: West London, Kensington

Salary: £34,000

General description of duties:

This position is part of the administrative team, responsible for ensuring the smooth and efficient operation of the school. The role involves communicating with various stakeholders, both inside and outside the organization, to ensure the school meets its obligations effectively and follows best practices.

Duties:

Personal assistant responsibilities:

  • Assist with the coordination, setup, and attendance of school events such as Parents Evening and Curriculum Evening.
  • Perform general PA tasks to support the Deputy Head.
  • Generate and provide weekly Pupil Attendance Reports to the leadership team.
  • Organize visits to nurseries and kindergartens.
  • Enter assessment data as needed.
  • Prepare pupil references in collaboration with the leadership team.
  • Report school staff absences to Head Office and update the system accordingly.

Office Secretarial Responsibilities

  • Answer telephone calls and take and deliver messages as needed.
  • Check and print morning and afternoon registers, and contact parents of absent students.
  • Greet, assist, and track visitors, following safeguarding procedures.
  • Address queries and provide information to staff, parents, and other interested parties as required.
  • Collaborate with other administrative staff to ensure office efficiency and meet the needs of parents, teachers, and students.
  • Send texts and emails to parents via CHQ and TomComs (training provided).
  • Book taxis for staff and visitors as needed.
  • Order stationery as required.
  • Manage petty cash.
  • Order tickets for year group performances and act as an usher on the day.
  • Help organize and set up Final Assembly each term, collate star and merit totals, fill in the spreadsheet, and prepare winners' labels.
  • Enter staff absences into iSAMs.
  • Updating the fire evacuation bag with relevant information and pupil and staff emergency contacts
