Job Type: Temporary to Permanent (Temp 3 months)

Working Hours: 37.5 hours - Monday – Thursday 0830 – 1715 + Friday 0830 - 1600

Location: Fully office-based role in central Winchester

There will be a requirement to travel 2 days per week to the offices in near to Egham for the first few months for training.

We are seeking a dedicated Receipting Administrator / General Administrator to support our clients Construction Department. This role is crucial in ensuring efficient processing of delivery notes and providing comprehensive administrative support. The successful candidate will be instrumental in facilitating smooth operations within the department.

Day-to-day of the role:

Receipting Responsibilities:

  • Full responsibility for posting receipts/delivery notes onto the system.
  • Respond to invoice queries regarding unmatched invoices.
  • Liaise with site managers to check and chase receipts.
  • Identify ongoing receipting issues, investigate, and implement process improvements.
  • Liaise with suppliers, accounts, and commercial departments.
  • Monitor receipt of delivery notes from site teams and escalate issues to construction management as necessary.
  • Attend site manager meetings and organise necessary office supplies for site managers.
  • Assist with other administrative duties as required.

General Administration Responsibilities:

  • Assist the Construction Secretaries & Construction Department with general administrative duties.
  • Manage holiday requests, sickness, and absence records on the shared team Outlook calendar.
  • Handle the collection and distribution of incoming and outgoing post for the department.
  • Maintain stock levels of printer consumables and stationery, reordering when required.
  • Type general correspondence and order uniforms and basic site consumables for the site team.
  • Arrange credit facilities and site start-up packs for new sites.

Required Skills & Qualifications:

  • Proficiency in Microsoft Packages, including Excel, Word, and Outlook.
  • Team player with reliable and flexible work ethics.
  • Self-motivated, proactive, and detail conscious.
  • Excellent planning and organisational skills.
  • Strong written and verbal communication skills.
  • Proven experience in a busy office environment, ideally within a construction context.
  • Experience in delivering excellent customer service.
