We have a fantastic opportunity for a detail-oriented and proactive Administrator to join our team at Vistry West Yorkshire, based in our Wakefield office. This role is key to supporting the Technical Team with a wide range of administrative responsibilities. As our Administrator, you will provide administrative support, including preparing documents, coordinating meetings, managing diaries and ensuring smooth coordination, documentation, and communication across projects.

  • Previous experience in an office-based secretarial / administrative role

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

  • Excellent communication and interpersonal skills with the ability to effectively liaise and co-ordinate activities between departments

  • To have a positive and flexible approach to work, integrate with the existing team and provide support and guidance to others when required

  • High level of accuracy and attention to detail

  • Knowledge and understanding of the document control process at operational level

  • Previous experience in a similar role, ideally within the housebuilding / construction industry

  • Knowledge of Viewpoint software

  • Attend meetings, take accurate minutes, and distribute them promptly (shorthand experience is a plus)

  • Coordinate meetings, including scheduling, preparing agendas, printing drawings, and distributing CPD materials

  • Support the preparation and management of HUG packs and Health & Safety files, liaising with Build Admin and Technical Coordinators

  • Assist with technical documentation such as H&S/environmental forms, retention notes and master trackers (e.g., SHE/LoS trackers)

  • Organise CPD events, including catering and logistics

  • Maintain and update training records and training matrix, ensuring compliance with mandatory and additional training requirements

  • Manage the Technical Team diary and provide general administrative support

  • Wider Office Duties

  • Provide reception cover as needed, ensuring a professional and welcoming front-of-house presence

  • Provide cover for the Administrator during periods of leave, and vice versa. This includes liaising with site teams and subcontractors to gather HUG and H&S information—tasks that may differ from the usual technical admin responsibilities but are essential for team continuity
