We are seeking an Administrative Assistant to provide comprehensive support to our Corporate Learning and Development Service and Management Team. This role involves a wide range of administrative tasks, from event coordination to diary management, aimed at ensuring efficient operations within the team.

Day-to-day of the role:

  • Administer all learning and development activities and events, including arranging venues, catering, resources, and managing the nominations process. Maintain databases and the learning management system efficiently.
  • Manage electronic calendars for the Corporate Learning and Development Management Team, organise learning and development events, appointments, meetings, venues, and travel arrangements. Ensure preparation time for meetings and that necessary documents are reviewed in time.
  • Process orders and maintain accurate budget records.
  • Maintain and operate comprehensive filing and documentation systems in line with data protection laws and confidentiality requirements.
  • Organise and administer learning and development events and meetings, including issuing contracts, liaising with external service providers, and preparing and circulating materials and agendas. Take and distribute minutes and ensure follow-up on action points.
  • Receive visitors and manage all logistics associated with Learning and Development, including catering arrangements and room bookings.
  • Handle telephone calls, emails, and other enquiries with a high level of customer care. Screen and prioritise communications, and compose correspondence independently when required.
  • Coordinate incoming and outgoing correspondence/mail, ensuring proper recording, tracking, and prioritisation of tasks.

Required Skills & Qualifications:

  • Proven experience in an administrative role
  • Strong organisational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills.
  • Proficiency in using office software including databases, email, and calendar management tools.
  • Ability to work independently and as part of a team.
